Job description
Hillebrand Gori â a DHL Global Forwarding company â seeks an Operation Specialist in Dubai to manage day-to-day logistics and freight forwarding processes for beverage logistics. The role involves ERP order entry, document handling, customs clearance coordination, route planning, and providing high-quality customer service. You will ensure compliance with shipping standards, maintain accurate records, and collaborate closely with sales, export offices, and third-party stakeholders.

Key responsibilities
- Receive and enter orders in FLOW (ERP/ tracking & tracing data system); update system timely for transshipments & arrivals
- Ensure timely shipping is arranged in accordance with customersâ requested RDS, RDD & mode/equipment type
- Handle full set of shipping documents, ensuring correspondence of BLs, shipping invoices, packing list, COO, etc.
- Coordinate timely import & export customs clearance and deliveries
- Coordinate with Sales dept. and export offices for timely customer quotations
- Ensure vendor and customer invoices match quotations and are recorded properly in financial files
- Maintain paper file records including control sheet, shipping docs, orders, quotations, invoices, and correspondence
- Plan export shipment routes considering cost, transit time, and security
- Prepare documentation to meet customs requirements and compliance with foreign regulations
- Work closely with customers, HG export offices, and third parties to ensure smooth operations
- Maintain knowledge of legislation, carrier route changes, and global factors affecting freight movement
- Review shipping documents for data accuracy across invoices, BLs, and packing lists
Experience & skills
- Solid knowledge of shipping paperwork for import/export of sea/air shipments
- Strong knowledge of international freight forwarding, FCL/LCL, and Incoterms
- Strong computer skills, especially in MS Office; knowledge of tracking & tracing systems is an advantage
- Excellent communication and customer service skills
- 2+ yearsâ experience in the freight forwarding industry
