Job description
The Administrative Coordinator – UAE National is responsible for supporting the administrative operations of the Outpatient Department (OPD) within a healthcare environment in Dubai. The role focuses on coordinating schedules, managing departmental documentation, supporting patient-related administrative workflows, and ensuring smooth communication between nursing teams and other departments. The position reports directly to the Patient Relations Supervisor and collaborates closely with Charge Nurses, HR teams, and clinical staff. The Administrative Coordinator manages calendars, coordinates meetings and workshops, prepares reports and presentations, and maintains departmental databases and filing systems. Additional responsibilities include managing procurement records, handling insurance approvals, coordinating patient follow-up appointments, and supporting compliance with healthcare regulations and organizational policies. The role also involves handling document scanning, referrals, radiology follow-ups, appointment confirmations, and general patient administrative support. This position requires strong customer-facing skills, attention to detail, and the ability to work collaboratively within multidisciplinary healthcare teams while ensuring efficient administrative support to clinical operations.

Key responsibilities
- Manage calendars, schedule meetings, and coordinate appointments for the Outpatient Department team
- Coordinate logistics for departmental events, workshops, and meetings
- Prepare presentations, reports, and administrative documentation for departmental use
- Track and maintain procurement requests and departmental administrative records
- Process and manage staff files in coordination with HR and nursing leadership
- Maintain departmental databases, electronic filing systems, and documentation records
- Coordinate patient follow-up appointments and appointment confirmations with call center
- Support insurance approval processes and administrative patient documentation
- Serve as primary administrative contact for Outpatient Department operations
- Assist with scanning documents, referrals, radiology follow-ups, and administrative patient coordination
Experience & skills
- High School Diploma required; Degree preferred
- 2–3 years experience in customer-facing or administrative role
- Strong customer service and face-to-face communication skills
- Ability to work collaboratively with clinical and administrative teams
- Proficiency in MS Office including Word, Excel, PowerPoint, and Outlook
- Strong organizational and document management skills
- Excellent verbal and written communication skills
- Ability to manage multiple administrative tasks in a healthcare environment
