Job description
The Executive Assistant role at Cigna Healthcare in Dubai, United Arab Emirates supports senior leadership within a global health service company serving more than 180 million customers worldwide. The position is responsible for identifying and resolving problems in a timely manner, gathering and analyzing information, maintaining confidentiality, and proactively anticipating executive and business needs. The role manages end-to-end administrative and corporate services activities including travel arrangements through Cigna's online travel booking tool, accurate and timely expense report submissions, and comprehensive calendar management using calendar systems and Outlook calendar functions to make last-minute scheduling decisions based on priority and business needs. The Executive Assistant schedules and organizes internal and external meetings, oversees meeting logistics, and provides staff support by attending staff meetings, recording minutes, tracking takeaways, following up on action items, managing invitations for guest attendees, maintaining department organization charts, and managing email distribution lists. The role plans and coordinates onboarding and off-boarding of employees and contractors, secures help desk support to troubleshoot and resolve computer, phone, and printer issues, orders equipment and supplies through the portal supply system, and manages department space planning in partnership with Corporate Real Estate. Responsibilities also include managing special projects and programs such as team-wide initiatives and team-building events, drafting, editing, and finalizing correspondence including letters, memos, mailings, and email communications, creating Excel spreadsheets to track and monitor information, preparing PowerPoint presentations, and producing miscellaneous reports. The role requires technical proficiency with Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook, audio and voice equipment, mobile and desktop devices, and experience supporting a virtual workforce. Travel to other Cigna locations and off-sites may be required to support senior leadership. Key responsibilities
- Handle travel arrangements using Cigna's online travel booking tool and manage changes as required to support senior leadership
- Submit accurate and timely expense reports in accordance with organizational requirements
- Manage calendar systems and Outlook calendar functions, make last-minute scheduling decisions based on priorities and business needs, and communicate scheduling changes via email, telephone, and text message
- Schedule and organize internal and external meetings, including coordination of all required meeting logistics
- Attend staff meetings to record minutes, track takeaways, follow up on action items, manage guest invitations, and maintain department organization charts and email distribution lists
- Plan and coordinate onboarding and off-boarding processes for employees and contractors
- Secure help desk support to troubleshoot and resolve computer, phone, and printer issues, order equipment and supplies through the portal supply system, and manage department space planning with Corporate Real Estate
- Manage team-wide special projects and programs, including team-building events and other departmental initiatives
- Draft, edit, and finalize correspondence such as letters, memos, mailings, and emails, create Excel spreadsheets for tracking and monitoring information, and prepare PowerPoint presentations and miscellaneous reports
- Recognize varying complexities in situations, manage or diffuse issues appropriately, and exercise sound judgment and decision-making
Experience & skills
- Possess a minimum of 10 years of progressively responsible administrative experience
- Demonstrate expert-level proficiency with Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook, and Outlook calendar functions
- Have prior experience working within Fortune 500 companies
- Exhibit the ability to maintain confidentiality and handle sensitive information in a highly professional manner
- Demonstrate experience supporting a virtual workforce and working with audio and voice equipment, mobile devices, and desktop devices
- Be capable of working independently with a high level of accuracy and attention to detail
- Maintain the ability to adjust priorities, anticipate team needs, and operate effectively in a fast-paced working environment
- Be willing and able to travel to other Cigna locations and off-sites as required to support senior leadership
