Job description
The Property Manager (Outsource) role is responsible for managing the day-to-day operations of assigned property portfolios within a real estate property management environment in Abu Dhabi, United Arab Emirates. The role focuses on establishing and managing processes and functions relating to property management operations, supporting core business objectives, improving operational efficiency, ensuring customer satisfaction, and maintaining compliance with company policies and regulatory requirements. The position includes maintaining and updating systems with current data, managing tenant and property information in Oracle databases, supporting automation initiatives, and implementing workflow improvements. The Property Manager oversees lease issuance, lease renewals, lease terminations, tenant requests, government lease renewals and payments, and customer service resolution. The role requires adherence to approved SOPs, compliance with KPIs, managing reporting requirements, performing site inspections according to annual planners, coordinating with leasing teams, tenant retention initiatives, maintaining documentation and electronic files, and handling escalations. The role also includes maintaining archiving systems, responding to tenant inquiries, ensuring compliance with applicable laws and regulations, managing risks, protecting company reputation, supporting property relationship management, preparing presentations, closing audit points, and achieving performance KPIs. The position requires real estate industry experience, knowledge of property management applications, and the ability to manage special tasks and operational improvements.

Key responsibilities
- Manage day-to-day operations of assigned property management portfolio including lease issuance, lease renewals, lease terminations, tenant communications, and property administration while ensuring compliance with standard operating procedures and company policies.
- Oversee all property management processes and procedures for assigned portfolio including tenant management, customer requests, lease administration, and operational tasks while ensuring service delivery standards and operational efficiency.
- Maintain and update tenant and property information within Oracle databases ensuring data accuracy, timely updates, and compliance with operational requirements and reporting standards.
- Support automation initiatives by implementing workflow improvements, process enhancements, and operational efficiencies to improve property management performance and internal controls.
- Monitor and manage government lease renewals and payments while ensuring compliance with regulatory requirements and maintaining accurate documentation.
- Conduct site inspections based on annual planner schedules, prepare inspection reports, maintain documentation, and ensure adherence to SOPs and operational standards.
- Coordinate with leasing team by sending upcoming property availability following non-renewal notices and support tenant retention efforts by negotiating renewals and maintaining occupancy levels.
- Manage tenant relationships by attending meetings, resolving tenant issues, responding to customer inquiries, escalating unresolved cases to management, preparing reports, maintaining documentation, closing audit findings, and ensuring compliance with applicable laws and company KPIs.
Experience & skills
- Hold a diploma certificate in business, technical, or information technology discipline with extensive knowledge of property management and real estate operations.
- Demonstrate over 5 years of experience in property management functions including lease management, tenant relations, portfolio management, and operational property management activities.
- Possess experience using property management applications and Oracle databases for managing tenant data, lease records, and operational reporting.
- Show real estate industry background and experience managing property portfolios, tenant relationships, and lease administration processes.
- Demonstrate ability to follow SOPs, achieve KPIs, manage operational workflows, and maintain documentation and reporting requirements.
- Exhibit experience conducting site inspections, preparing reports, managing audit points, and maintaining compliance with operational standards.
- Demonstrate ability to manage customer service issues, tenant retention, escalations, and operational risk management within property management environments.
- Show capability to support automation initiatives, process improvements, operational efficiency, and compliance with applicable laws and company policies.
