Job description
The Administrator – Recruitment Services role at Transguard Group is part of the Onboarding team and is responsible for handling administrative activities related to recruitment and visa processing for site-based roles. The position focuses on processing candidate biodata and visa applications through an automated BOT application, ensuring strict accuracy to avoid fines and maintain data integrity. The role manages multiple stages of visa processing, including uploading candidate data, applying for TG IDs, maintaining live recruitment tracking sheets, and adhering to UAE immigration laws and internal data protection policies. The administrator provides regular status updates to candidates, recruiters, and hiring managers, ensures compliance with Transguard procedures, and continuously suggests improvements to recruitment administration processes to enhance efficiency, reduce time-to-arrive, and improve candidate experience.
Required skills
Key responsibilities
- Process candidate biodata and visa applications through automated BOT systems for site-based roles
- Ensure 100% accuracy in visa applications to prevent fines and maintain candidate data integrity
- Upload candidate data and apply for TG ID within 24 hours of receiving required documentation
- Provide step-by-step and regular recruitment status updates to candidates
- Facilitate recruiters and hiring managers with weekly recruitment and onboarding status reports
- Maintain strict follow-ups with candidates after offer letter issuance via calls and emails twice weekly
- Ensure accurate and up-to-date maintenance of live recruitment tracking sheets and BU reports
- Adhere to UAE data protection laws and internal Transguard policies for secure handling of candidate information
- Continuously suggest improvements to recruitment administration and data entry processes to enhance efficiency and candidate experience
Experience & skills
- Hold a graduate qualification with at least 1 year of experience in data administration or recruitment administration
- Demonstrate hands-on proficiency with MS Office applications, particularly MS Word and MS Excel
- Possess working knowledge of UAE immigration laws related to visa processing
- Show ability to manage high-accuracy data entry and compliance-driven administrative processes
- Demonstrate adherence to data protection regulations and internal organizational policies
