Job description
The Account Administrator – Workforce Solutions role supports the Account Management team in delivering end-to-end HR services to assigned key accounts from the Workforce Solutions HQ located in DAFZA, Dubai Airport Free Zone. The role operates under the Workforce Solutions function and works closely with the Manager – Workforce Solutions to ensure customer and employee expectations are exceeded through consistent service delivery aligned with established standard operating procedures. The position is responsible for administering payroll-related data including accurate salary and bank detail updates to ensure correct salary processing, managing cash requests, claims, and expenses related to passes and permits, and maintaining accuracy across visa, medical, and permit applications. The role supports account transition planning for onboarding and offboarding projects and ensures smooth delivery of HR services including recruitment and hiring support, employment visa services (new, renewals, and cancellations), passport and visa services, payroll administration, onboarding and offboarding processes, disciplinary and performance management support, Oracle workflow processing, and ad hoc HR requests. The role ensures all activities are delivered in accordance with agreed service level agreements, standard operating procedures, standard work instructions, and defined KPIs. Responsibilities include employee lifecycle record management, reporting on administrative activities, supporting disciplinary cases in coordination with client HR teams, managing HR data dumps for efficiency, and contributing to continuous improvement initiatives aimed at increasing operational efficiency and cost savings. The role requires awareness of UAE Labor Law processes, exposure to HR systems, and strong administrative execution within a high-volume workforce services environment.

Key responsibilities
- Update and maintain accurate salary and bank details to ensure correct payroll processing
- Submit cash requests, claims, and expenses related to passes and permits in a timely manner
- Maintain accuracy in employment visa, medical, and pass application processing
- Support account management teams in transition planning for onboarding and offboarding projects
- Deliver HR services including recruitment support, hiring administration, employment visa processing, passport and visa services, payroll administration, onboarding, offboarding, and ad hoc HR requests
- Ensure all administrative tasks meet agreed service level agreements
- Prepare weekly and monthly administrative activity and status reports
- Follow Standard Operating Procedures, Standard Work Instructions, and Key Performance Indicators for assigned accounts
- Align individual work schedules with team schedules to meet operational deadlines
- Support disciplinary cases in coordination with client HR teams
- Track and maintain complete employee lifecycle records including personal documents, passes, permits, medical insurance, and lifecycle documentation
- Manage HR data dumps and reporting to improve operational efficiency
- Participate in continuous improvement initiatives to enhance efficiency and cost savings
Experience & skills
- Demonstrate awareness of basic UAE Labor Laws and employment processes
- Possess 1–2 years of administrative experience with HR knowledge considered an advantage
- Meet minimum English Language Level 4 as per Transguard Group standards
- Have exposure to HRMS systems considered an advantage
- Demonstrate experience using Microsoft Office tools for administrative and reporting tasks
