Job description
AstroLabs is seeking a proactive and professional Client Relations Associate to support its Saudi Operations team. The role focuses on managing the delivery of incorporation and business setup services for clients expanding into Saudi Arabia. The associate acts as the main point of contact, facilitating visa processes, liaising with banks and government entities, and ensuring regulatory compliance. Responsibilities include managing government portal registrations, issuing incorporation documents, attending on-ground visits with clients, and handling end-to-end setup procedures. The candidate must be client-centric, organized, fluent in English and Arabic, and well-versed in Saudi business setup processes. The role is based in Riyadh and requires regular in-person support at ministries and with clients.
Required skills
Key responsibilities
- Act as the main point of contact for clients, ensuring a smooth and professional expansion journey
- Provide world-class customer service through consistent and proactive communication
- Track client progress, perform follow-ups, and resolve issues promptly
- Schedule and facilitate General Managersā visits to Riyadh for visa processes
- Support corporate bank account openings and liaise between GMs and banks
- Issue Iqamas and assist with compliance activities
- Advise managers and clients on ministry regulation changes
- Promote AstroLabs' additional services such as HR, PRO, and GRO
- Build relationships with service providers to enhance client delivery
- Accompany GMs to ministries like MoC, MoL, MISA, and CoC
- Guide through medical testing and health insurance selection
- Provide live support during critical setup activities
- Register companies with portals like GOSI, MoL, National Address, Qiwa, and Mudad
- Manage and update client data on government platforms
- Handle notarization and attestation of documents at MoFA, SBC, and MoJ
- Submit documents and follow up at the Ministry of Labor
- Monitor and report updates from ministries impacting compliance
- Track and report setup progress on a daily basis
- Identify and suggest new services to improve client experience
- Document and communicate process updates internally
- Propose operational improvements for service efficiency
Experience & skills
- 2ā3 years of experience in a client-facing role
- Possession of a Saudi driverās license and a personal car
- Fluency in English and Arabic
- Ability to manage multiple priorities with a client-first mindset
- Deep understanding of client needs and the Saudi business setup process
- Strong organizational skills
- Adaptability to dynamic workflows
