Job description
As an Events Coordinator at Grant Thornton UAE within Clients & Markets (Internal Client Services), the role supports the planning and execution of high-quality client-facing events and select internal initiatives that enhance the firmās brand, client relationships, and employee engagement. Reporting to the event lead, responsibilities span end-to-end logistics including venue bookings, catering, equipment, branding, and event materials; maintaining and updating the event calendar and tracking all planned activities; preparing checklists, schedules, production briefs, and run-of-show documents for operational excellence before, during, and after events; and conducting site visits and pre-event inspections. Vendor and partner management includes liaising with venues, decorators, photographers, and AV providers to secure quotes, negotiate costs, ensure timely delivery, and maintain an organized archive of vendor contacts and performance records while ensuring compliance with firm policies and brand standards. Marketing and communication support includes coordinating with communications, creative, and digital teams to develop invitations, event materials, and social media assets; managing RSVP lists, guest communications, and registration processes; assisting with pre-event promotion and post-event coverage through photos, recaps, and social media updates; collaborating on internal communications to promote employee engagement events; and ensuring consistent brand messaging across event materials. On-site delivery includes hands-on coordination at live events, managing booths at sponsored events, ensuring seamless guest experiences, supporting setup, registration, signage, speaker and host coordination, and catering, and acting as a point of contact for guests, partners, and vendors. Post-event reporting and administration include gathering and organizing feedback, photos, and materials; tracking and reconciling event budgets, invoices, and payments; maintaining a database of venues, suppliers, and performance metrics; and preparing post-event evaluations, summary reports, and lessons learned with the events lead and wider team.

Key responsibilities
- Coordinate logistics end to end, including venue bookings, catering, equipment, branding, and event materials for client-facing and internal events.
- Maintain and update the event calendar and track all planned activities to ensure visibility and alignment.
- Prepare checklists, schedules, production briefs, and run-of-show documents to drive operational excellence before, during, and after events.
- Conduct site visits and pre-event inspections to validate setups, accessibility, and technical readiness.
- Liaise with vendors (venues, decorators, photographers, AV providers) to secure quotes, negotiate costs, and ensure timely delivery in line with brand standards and firm policies.
- Support the event lead in developing and maintaining relationships with event partners and service providers and maintain a vendor archive and performance records.
- Coordinate with communications, creative, and digital teams to develop invitations, event materials, and social media assets with consistent brand messaging.
- Manage RSVP lists, guest communications, and registration processes, and assist with pre-event promotion and post-event coverage via photos, recaps, and social updates.
- Collaborate on internal communications to promote employee engagement events across the firm.
- Provide on-site coordination, manage booths at sponsored events, oversee setup, registration, signage, and coordinate speakers, hosts, and catering to ensure a seamless guest experience.
- Act as a point of contact for guests, partners, and vendors during live events to resolve issues promptly.
- Gather and organize event feedback, photos, and materials for internal sharing; track and reconcile event budgets, invoices, and payments.
- Maintain a database of venues, suppliers, and event performance metrics; prepare post-event evaluations, summary reports, and lessons learned with the events lead and wider team.
Experience & skills
- Bring 2+ yearsā experience in events management and coordination, preferably in a corporate or professional services environment.
- Demonstrate strong organizational skills and attention to detail with the ability to manage multiple priorities under pressure and tight deadlines.
- Exhibit excellent communication and interpersonal skills with strong English (verbal and written); Arabic speaking is advantageous.
- Show proficiency in MS Office (Excel, PowerPoint, Word) and familiarity with event registration tools, CRM systems, and marketing automation tools.
- Align with the firmās community-driven culture and contribute to marketing and communications strategy through high-quality event delivery.
