Job description
The Projects Executive at Dubai Future Academy supports the end-to-end planning and delivery of academy programs, ensuring smooth and high-quality execution across all stages of program lifecycle. The role involves coordinating stakeholders, managing participant communications, maintaining readiness checklists, and supporting on-ground delivery. The Projects Executive works closely with program and project managers to maintain task trackers, program documentation, and reporting structures while providing assistance during selection cycles, participant arrangements, and speaker coordination. Responsibilities include preparation of run-of-show documents, ensuring venue and material readiness, handling participant queries, supporting hybrid and online session tech checks, and consolidating program close-out materials such as attendance logs, feedback surveys, and final agendas. This role is crucial in protecting the participant experience, ensuring consistent program quality, and strengthening the Academy’s reputation as a regional and international thought leader. The Projects Executive is expected to work with attention to detail, follow structured processes, and communicate professionally with all stakeholders while supporting the delivery of learning journeys that enhance leadership and future skills.

Key responsibilities
- Support the planning and delivery of academy programs by maintaining workplans, timelines, and task trackers for assigned programs
- Prepare and update readiness checklists and run-of-show documents to ensure clarity of actions and smooth program execution
- Coordinate internal inputs for program delivery, including branding, room setup, access permissions, and approvals, ensuring all operational requirements are met
- Manage stakeholder and speaker coordination by scheduling, confirming participation, preparing briefing packs, and supporting basic tech checks for online or hybrid sessions
- Provide on-ground delivery support during program sessions, assisting with participant flow, session readiness, issue resolution, and escalating challenges when required
- Prepare and send participant communications including joining instructions, reminders, schedules, and location details, and track attendance and confirmations accurately
- Assist with participant selection processes, interview scheduling, and basic arrangements, coordinating sensitive items with relevant teams
- Support end-of-program close-out reporting by consolidating materials, tracking feedback themes, ensuring completion of open actions, and archiving documents in the agreed structure
Experience & skills
- Bachelor’s degree in any field with 1–2 years of experience in project coordination, program operations, event management, training delivery support, or consulting
- Strong organizational skills, comfortable using task trackers, checklists, and structured documentation to maintain program workflows
- Excellent written and spoken English communication skills; fluency in Arabic is an additional asset
- Proficiency in Microsoft Excel, PowerPoint, Word, and collaboration tools such as Teams and Zoom
- Attention to detail, strong follow-through on tasks, and commitment to high-quality delivery
- Ability to communicate professionally with stakeholders, draft concise emails, meeting notes, and updates
- Curiosity, willingness to learn, adaptability, and ability to quickly pick up new tools and ways of working
