Job description
The Assistant Manager - Facilities Management role is part of the Total Facilities Management team based at the HQ located in DAFZA, Dubai Airport Free Zone. The position supports the Facilities Manager and clients in managing day-to-day operational management of all Facilities Management services, ensuring the facility is fully maintained, functional, and safe for building users. The role covers Hard Services responsibilities including overseeing maintenance activities, coordination with vendors and contractors, housekeeping and soft services, ensuring compliance with relevant safety guidelines, and implementing facility projects. Financial responsibilities include assisting in preparing monthly operational reports to support financial performance reviews, ensuring FM services are delivered as per sold solution manpower resources, managing team structures within budget, identifying continuous improvement initiatives, managing project service delivery performance, ensuring compliance with SLA/KPIs, adding value through cost reduction and business-aligned initiatives, and ensuring delivery of FM services in line with contractual requirements to avoid penalties. Customer-focused duties include staff induction and training, transport and accommodation planning, SLA monitoring, procurement coordination, management of specialist service contractors, staff attendance management, regular client liaison, site visits, and maintaining high service standards. Process responsibilities include managing contract service delivery per best industry practices, international FM standards and local statutory guidelines, project planning from mobilization to demobilization, equipment ordering, client communications, training on SOPs, local purchasing, monitoring resource utilization, conducting reviews and meetings, overseeing maintenance contract execution, reviewing preventive and corrective maintenance programs, coordinating invoicing, and executing energy management projects in coordination with the energy manager.

Key responsibilities
- Assist and support the Facilities Manager and clients in managing daily Facilities Management operations ensuring facilities are fully maintained, functional and safe
- Oversee maintenance activities including preventive and corrective maintenance and supervise implementation through report reviews
- Manage vendors, contractors and specialist service providers within contract scope
- Prepare and support monthly operational and financial performance reports for contract review
- Ensure FM service delivery complies with agreed contractual Service Level Agreements (SLA) and Key Performance Indicators (KPI)
- Identify, record and implement continuous improvement, process improvement and cost improvement initiatives
- Plan and manage project service delivery from mobilization to demobilization stages
- Coordinate procurement of materials, services, equipment and machinery in line with procurement policies
- Conduct staff induction, continuous training and ensure compliance with Standard Operating Procedures (SOP)
- Monitor resource utilization, staff attendance, holidays and absence in accordance with company policies
- Liaise regularly with clients, conduct meetings, site visits and resolve service quality issues
- Manage invoicing processes in coordination with central administration and finance teams
- Execute energy management projects by identifying improvement opportunities in coordination with the energy manager
Experience & skills
- Hold a Bachelor’s degree in Engineering or an equivalent degree in facilities management
- Possess 7+ years of experience in the field of Facility Management in a managerial position
- Demonstrate experience in people management and project management within Facilities Management environments
- Show proven experience leading continuous improvement projects with commercial and contract awareness
- Hold a valid UAE driving license
