Job description
The Secretary (Legal) role provides comprehensive administrative and secretarial support within a professional legal services environment, reporting to the Team Leader and working closely with lawyers, associates, business support teams, and other secretaries. The position requires extensive experience in secretarial functions within a professional services company and strong familiarity with legal documents and legal terminology. Responsibilities include producing and managing legal information through transcription, formatting, data input, editing, retrieval, copying, and transmission of text, data, and graphics using Microsoft Word, PowerPoint, Excel, and Outlook, as well as legal technology such as document management systems, transcription software, and dictaphones. The role supports lawyers by processing, amending, and proofreading legal documents, assisting associates with documentation and, where applicable, courtroom procedures. The Secretary participates in billing processes by preparing invoices, tracking reimbursable expenses, monitoring client payments, and managing billing queries in coordination with finance. Additional responsibilities include maintaining lawyersâ calendars, scheduling conferences and meetings, arranging travel, managing incoming calls and emails, filing and organizing legal documents, and ensuring compliance with firm policies and procedures. Key responsibilities
- Provide administrative and secretarial support to one or more lawyers within the firm
- Transcribe, format, input, edit, retrieve, copy, and transmit legal text, data, and graphics using legal and office technology tools
- Assist associates with processing, amending, and proofreading legal documents and support courtroom-related documentation when required
- Prepare invoices, track reimbursable expenses, monitor client payments, and manage billing queries in coordination with finance
- Maintain lawyersâ calendars by scheduling conferences, teleconferences, meetings, and coordinating travel arrangements
- File, organize, scan, copy, and fax legal documents accurately and promptly
- Screen, direct, and prioritize incoming calls and emails addressed to lawyers
- Adhere strictly to the firmâs policies, procedures, and professional standards
- Coordinate effectively with lawyers, team leaders, business support teams, and other secretaries
Experience & skills
- Possess a minimum of 5 years of secretarial experience within a professional services company
- Demonstrate familiarity with legal documents and legal terminology
- Exhibit excellent proficiency in Microsoft Word, PowerPoint, Excel, and Outlook
- Show experience using legal technology including document management systems, transcription software, and dictaphones
- Maintain strong typing accuracy and document proofreading capability
- Demonstrate ability to manage billing processes including invoice preparation and expense tracking
- Operate effectively within a legal team environment while supporting multiple stakeholders
