Job description
The Procurement Officer – Hard & Soft FM (Facilities Management) at DP World in Dubai develops and executes sourcing strategies for Hard & Soft FM categories including MEP maintenance, HVAC, lifts, building fabric, utilities, cleaning, waste management, and landscaping; manages the entire procurement lifecycle for RFQ’s and Tenders from requisition to delivery encompassing document preparation, vendor communication, bid evaluation, and recommendation; leads commercial negotiations with suppliers and service providers to secure optimal pricing, payment terms, and service level agreements (SLAs); ensures all procured items meet We One’s stringent quality standards and ISO compliance requirements; builds and maintains strong relationships with key suppliers and conducts regular business reviews to ensure performance, quality, and compliance; collaborates closely with FM Operations and Project teams to understand requirements, forecast demand, and ensure seamless service delivery; continuously monitors market trends, conducts cost analysis, and identifies opportunities for cost savings and process improvements; ensures all procurement activities adhere to company policies, ethical standards, and relevant UAE regulatory requirements; resolves issues related to purchase orders, invoices, deliveries, and supplier non-conformance in a timely manner; maintains accurate records of purchase orders and supplier data within the procurement system; supports the evaluation of existing supplier performance and the onboarding of new vendors ensuring completion of all pre-qualification and compliance checks; and provides regular reporting on procurement KPIs, savings initiatives, and category performance to management.

- Resolve purchase order, invoice, delivery, and supplier non-conformance issues in a timely manner
- Maintain accurate records of purchase orders and supplier data within the procurement system
- Support evaluation of existing supplier performance and onboarding of new vendors with pre-qualification and compliance checks
- Provide regular reporting on procurement KPIs, savings initiatives, and category performance to management
Experience & skills
- Demonstrate experience executing sourcing strategies across Hard & Soft FM categories including MEP maintenance, HVAC, lifts, building fabric, utilities, cleaning, waste management, and landscaping
- Show proven ability to manage the full procurement lifecycle for RFQs and tenders from requisition to delivery, including document preparation, vendor communication, bid evaluation, and recommendation
- Exhibit strong commercial negotiation skills to secure optimal pricing, payment terms, and service level agreements (SLAs)
- Ensure working knowledge of ISO compliance requirements and application of We One quality standards to procured goods and services
- Demonstrate supplier relationship management capability, including conducting regular business reviews focused on performance, quality, and compliance
- Collaborate effectively with FM Operations and Project teams to understand requirements, forecast demand, and support seamless service delivery
- Conduct market trends monitoring and cost analysis to identify cost savings and process improvement opportunities
- Apply knowledge of company policies, ethical procurement standards, and relevant UAE regulatory requirements to all procurement activities
- Resolve operational issues related to purchase orders, invoices, deliveries, and supplier non-conformance within defined timelines
- Maintain accurate procurement records, including purchase orders and supplier master data, within the procurement system/ERP
- Support supplier performance evaluation and new vendor onboarding by executing pre-qualification and compliance checks
- Prepare and deliver regular reports on procurement KPIs, savings initiatives, and category performance for management review
