Job description
The Document Controller – Project Execution role is responsible for following established document control procedures and managing both electronic and hardcopy project documentation throughout the full project lifecycle, including project execution, close-out, cancellation, and suspension. The role involves operating and administering the Document Management System (DMS/EDMS), including platforms such as PMWeb and SharePoint, with responsibilities for configuring metadata, permissions, and workflows. The position manages the receipt and acknowledgement of documents from internal and external sources through date stamping of hardcopy documents and verification of electronic submissions within the company’s EDMS. The role performs quality checks on all received documentation, ensuring accuracy of document numbers, revision status, and completeness of mandatory metadata. Responsibilities include controlled distribution of electronic documents to internal recipients according to defined distribution matrices or management direction, preparation and validation of documentation for archiving, and managing handover during project close-out. The Document Controller conducts regular audits to ensure documentation completeness, compliance, and quality, generates periodic status reports such as registers and dashboards, supports document-related handover processes, and ensures timely document sharing to support on-time project completion. The role requires coordination with relevant stakeholders to manage document flow across departments and engagement with Damac Digital, Damac, contractors, and customers in support of project documentation requirements.

Key responsibilities
- Follow established document control procedures throughout project execution
- Manage electronic and hardcopy project documents until handover during project close-out, cancellation, or suspension
- Operate and administer the Document Management System (DMS/EDMS) including PMWeb and SharePoint
- Configure metadata, permissions, and workflows within the DMS/EDMS
- Receive and acknowledge documents from internal and external sources through date stamping and EDMS verification
- Perform quality checks on received documentation including document numbers, revisions, and mandatory metadata
- Distribute electronic files to internal recipients according to the distribution matrix or management instructions
- Prepare, check, and validate documentation for archiving and project close-out handover
- Conduct regular documentation audits to ensure completeness, compliance, and quality
- Generate periodic document status reports including registers and dashboards
- Support document-related handover processes to ensure timely project completion
- Ensure documents are shared at key milestones to facilitate project delivery
- Coordinate with stakeholders to manage inbound and outbound document flows
Experience & skills
- Hold a Bachelor’s Degree
- Demonstrate experience following document control procedures
- Possess experience managing electronic and hardcopy project documentation
- Demonstrate proficiency in using Document Management Systems and Electronic Document Management Systems
- Have hands-on experience with PMWeb and SharePoint
- Demonstrate capability in configuring metadata, permissions, and workflows
- Show experience performing document quality checks including revision and metadata validation
- Demonstrate experience in documentation archiving and project close-out handover processes
