Job description
The People Operations Specialist serves as a key partner to employees, ensuring people operations are delivered with accuracy, compliance, and a high standard of employee care while taking end-to-end ownership of core people operations processes and proactively resolving complex employee cases. The role ensures full compliance with Saudi labor laws and supports strengthening data integrity, improving HR processes, and delivering a consistent and reliable employee experience. The position involves HRIS administration and data ownership, maintaining the accuracy and integrity of employee data for all KSA employees, managing end-to-end employee lifecycle transactions including new hires, salary changes, promotions, transfers, employee record updates, and terminations, and conducting regular audits to identify discrepancies and improve data quality. The role partners with HQ to ensure timely system updates and alignment across HR platforms and acts as a trusted HR point of contact handling daily HR inquiries, managing complex employee requests such as HR letters and salary certificates, leave balance reviews and adjustments, employee record corrections or escalations, and providing guidance on HR policies and labor-related matters. The specialist coordinates with HQ and external stakeholders, executes daily HR transactions, manages GOSI registrations, updates and removals, oversees medical insurance enrollment, changes and claims support, and handles Qiwa contract creation, renewals and amendments while acting as local subject matter expert for KSA-specific people operations processes. The role owns end-to-end offboarding and exit management including preparing termination documentation, validating final settlements, conducting exit interviews, managing clearance processes, updating government portals, identifying exit trends, and sharing insights with People Ops leadership. The role ensures ongoing compliance with Saudi labor law, GOSI, Qiwa, and internal HR policies, supports audits and inspections by maintaining documentation and records, analyzes people operations data to identify trends and risks, and recommends process enhancements to improve operational efficiency and employee experience. The role requires familiarity with BambooHR, Lattice, Jira, and Google Workspace, experience in HR operations including onboarding, offboarding, HRIS management and employee lifecycle support, experience applying Saudi labor laws and HR regulations independently, and analytical capability to interpret HR data and contribute to operational and process improvements within a fast-growing scale-up environment in the technology sector. Key responsibilities
- Own HRIS administration and employee data management for all KSA employees by maintaining the accuracy, completeness, and integrity of employee records, managing new hires, salary changes, promotions, transfers, employee record updates, and terminations, conducting periodic audits, identifying discrepancies, resolving data inconsistencies, and coordinating with HQ to ensure system alignment across HR platforms including BambooHR, Lattice, Jira, and Google Workspace.
- Manage end-to-end employee lifecycle operations including onboarding, employee record management, internal transfers, promotions, compensation changes, and offboarding while ensuring full compliance with Saudi labor laws, internal HR policies, and organizational procedures, maintaining proper documentation and timely system updates across HRIS and government portals.
- Act as the primary HR point of contact for employees by handling daily HR inquiries, managing HR letters and salary certificates, conducting leave balance reviews and adjustments, resolving employee record corrections, managing escalations, and providing clear guidance on HR policies, procedures, and labor-related matters in accordance with Saudi labor regulations.
- Coordinate with HQ teams and external stakeholders to execute daily HR operational transactions, manage employee data synchronization, handle administrative updates, and ensure consistent HR practices while managing GOSI registrations, updates, removals, and compliance-related activities aligned with Saudi regulatory requirements.
- Oversee medical insurance administration for direct hires including employee enrollment, coverage changes, claims support, and coordination with insurance providers while ensuring documentation accuracy and compliance with company policies and local regulations.
- Administer Qiwa contract lifecycle including contract creation, renewals, amendments, and updates while ensuring compliance with Saudi labor law requirements, maintaining accurate records, and acting as the local subject matter expert for KSA-specific people operations processes.
- Own end-to-end offboarding and exit management processes including preparing termination documentation, validating final settlements, conducting exit interviews, managing clearance procedures, updating government portals such as GOSI and Qiwa, and ensuring a compliant and positive employee exit experience.
- Ensure compliance, reporting, and continuous improvement by maintaining documentation for audits and inspections, analyzing people operations data, identifying trends and risks, recommending process enhancements, supporting implementation of operational improvements, and strengthening employee experience and HR operational efficiency.
Experience & skills
- Hold a Bachelor’s degree in Human Resources, Business Administration, or a related field with at least 3 years of experience in HR Operations including onboarding, offboarding, HRIS management, employee lifecycle administration, and operational HR support within structured organizational environments.
- Demonstrate hands-on experience administering HRIS platforms including BambooHR, Lattice, Jira, and Google Workspace while maintaining employee data integrity, conducting audits, managing lifecycle transactions, and ensuring accurate HR system updates.
- Possess working knowledge of Saudi labor laws, HR regulations, and government platforms including GOSI and Qiwa with the ability to independently apply legal and compliance requirements in daily HR operations and employee lifecycle management.
- Demonstrate experience managing employee services including responding to HR inquiries, preparing HR letters, issuing salary certificates, reviewing leave balances, handling escalations, and providing policy guidance while maintaining confidentiality and documentation accuracy.
- Show experience coordinating with HQ teams, stakeholders, and external partners including insurance providers and regulatory authorities while managing medical insurance administration, compliance documentation, and operational HR processes.
- Exhibit analytical capability to interpret HR data, conduct audits, identify trends, assess risks, generate HR reports, and recommend operational improvements to enhance efficiency, compliance, and employee experience.
- Demonstrate experience working in fast-growing scale-up environments, preferably within the technology or fintech sector, managing multiple priorities, maintaining service quality, and supporting operational growth initiatives.
- Maintain full professional proficiency in English and Arabic with the ability to manage stakeholder communication, support employees, coordinate with HQ teams, and document HR operations effectively while ensuring compliance with organizational and regulatory requirements.
