The Operations Coordinator – Air, Ocean & Customs Brokerage role within Facility Operations is responsible for managing end-to-end day-to-day freight forwarding activities at the Riyadh location in Saudi Arabia. The position ensures the smooth execution of import and export operations by coordinating air and ocean freight shipments, managing carrier interactions, and ensuring full compliance with customs regulations and trade requirements. The role involves scheduling shipments, arranging carrier bookings, consolidations, and gateway movements, tracking cargo status, and maintaining accurate shipment documentation. The Operations Coordinator liaises with airlines, shipping lines, trucking providers, warehouses, customs authorities, brokers, and freight forwarders to ensure efficient logistics flow and on-time delivery. The position requires strong expertise in customs compliance, including HS codes, tariff classifications, duty structures, and regulatory adherence, as well as the ability to address customs-related queries, audits, and disputes. Responsibilities also include maintaining shipment records for audit and compliance purposes, supporting billing and invoicing activities, reconciling freight and customs costs, and contributing to continuous process improvements. The role operates in an on-site environment and requires close collaboration with internal teams and customers to provide shipment updates, manage exceptions, resolve escalations, and deliver high levels of customer service within a fast-paced logistics and freight forwarding operation.

Key responsibilities
- Coordinate daily air and ocean freight shipments to ensure timely, cost-effective, and compliant movement of cargo.
- Arrange carrier bookings, shipment consolidations, and gateway movements while optimizing schedules and capacity.
- Liaise with airlines, shipping lines, trucking providers, warehouses, and other logistics partners to ensure smooth operational flow.
- Monitor shipment tracking, cargo status updates, and on-time delivery performance across all modes of transport.
- Assist with rate negotiations and vendor management to maintain competitive pricing and service quality.
- Communicate proactively with internal teams and customers regarding shipment schedules, delays, exceptions, and service issues.
- Prepare, review, and validate import and export documentation including commercial invoices, packing lists, and certificates of origin.
- Ensure compliance with customs regulations, HS code classifications, duty structures, and trade requirements.
- Coordinate with customs authorities, brokers, and freight forwarders to facilitate timely customs clearance.
- Address and resolve customs-related queries, audits, discrepancies, and disputes efficiently.
- Maintain up-to-date knowledge of trade regulations, tariffs, and documentation requirements.
- Maintain accurate shipment records, operational files, and compliance reports for audit purposes.
- Provide customers with regular updates on shipment status, delivery timelines, and regulatory changes.
- Assist with billing, invoicing, and cost reconciliation related to freight and customs charges.
- Support continuous process improvement initiatives to enhance operational efficiency and service levels.
- Collaborate with customer service teams to resolve escalations and ensure client satisfaction.
Experience & skills
- Hold a Diploma or Degree in Logistics, Supply Chain, or a related academic field.
- Possess a minimum of 6+ years of experience in freight forwarding, customs brokerage, or logistics operations.
- Demonstrate strong knowledge of import and export regulations, customs documentation, HS codes, and tariff classifications.
- Exhibit experience coordinating air and ocean freight shipments within a high-volume operational environment.
- Demonstrate ability to work with freight management systems, customs portals, and shipment tracking tools.
- Show experience in carrier coordination, vendor management, and rate negotiation support.
- Demonstrate strong attention to detail and the ability to manage multiple shipments simultaneously.
- Exhibit experience supporting billing, invoicing, and cost reconciliation activities.
- Demonstrate the ability to work independently in an on-site, full-time operational role.
