Job description
The Front Desk & Administration Analyst is a key role at CBRE Dubai, responsible for ensuring smooth day-to-day operations while supporting the People team with administrative and HR-related tasks. Acting as the first point of contact for visitors, clients, and candidates, this role requires professionalism, a friendly demeanor, and strict attention to confidentiality. The analyst manages front office operations, including greeting guests, handling calls, coordinating travel, overseeing office safety and security, managing mail and deliveries, maintaining office inventory, and providing meeting support. Additionally, the role assists with onboarding and offboarding processes, updates employee records, supports benefits and policy administration, and contributes to People projects and events. This is an in-office position requiring strong organizational, communication, and multitasking skills, as well as the ability to manage sensitive information with integrity.
Required skills
Key responsibilities
- Greet and welcome visitors, clients, and candidates, maintaining a professional front office presence
- Manage incoming calls, take accurate messages, and direct inquiries appropriately
- Coordinate company travel, including research, booking, and managing flights and accommodations
- Serve as Fire Warden, conduct evacuation drills, and ensure compliance with safety protocols
- Manage visitor sign-ins and issue temporary access badges following security procedures
- Sort, distribute, and process incoming/outgoing mail, packages, and deliveries
- Maintain organized and professional reception and office areas; monitor and reorder office supplies as needed
- Schedule and coordinate meetings, prepare meeting rooms, and assist with event setup
- Support People team with onboarding paperwork, welcome packs, and first-day logistics for new hires
- Assist with offboarding administrative tasks for departing employees
- Maintain and update employee files (physical and digital) with accuracy and confidentiality
- Support benefits enrolment, policy distribution, training sessions, and ad-hoc HR projects
- Provide general administrative support to ensure smooth operations and compliance with company procedures
Experience & skills
- Minimum 2 years’ experience in front desk, administrative, or office management role
- Exceptional interpersonal and communication skills (verbal and written)
- Demonstrated ability to handle confidential and sensitive information with discretion
- Strong organizational skills and ability to prioritize multiple tasks effectively
- Proactive, professional, and service-oriented mindset
- Fluency in English; proficiency in Arabic or other languages is advantageous
- Familiarity with office software, including MS Office Suite
- Knowledge of safety procedures, including fire safety and emergency response
- UAE Driver’s license is an advantage
- Ability to work on-site full-time from EMAAR Square, Dubai
- High attention to detail, problem-solving skills, and reliability
- Ability to support People team initiatives, events, and ad-hoc projects as required
