Job description
The Proposals and Contracts Coordinator for a Dubai-based design consultancy is responsible for managing bids, proposals, and commercial support across high-profile commercial projects. This role involves coordinating technical and commercial proposals, supporting prequalification questionnaires, managing proposal schedules, liaising with internal teams and sub-consultants, and ensuring high-quality, consistent, and timely submissions. The coordinator also supports contract administration, including purchase orders, change control requests, and maintaining accurate commercial records. Additionally, the role focuses on improving templates, workflows, and processes, aligning technical and commercial proposals, and ensuring strong commercial control while working closely with senior commercial stakeholders in a fast-paced environment.

Key responsibilities
- Coordinate and prepare technical and commercial proposals
- Support with prequalification questionnaires (PQQs)
- Track and manage proposals from initiation to submission
- Coordinate inputs from design, commercial, and project teams
- Liaise with sub-consultants to ensure timely and accurate submissions
- Maintain bid schedules and proposal documentation
- Review and refine proposal content for clarity, consistency, and quality
- Support contract administration including purchase orders and change control requests
- Assist with preparation, submission, and follow-up of CCRs / variations
- Maintain accurate commercial registers and records
- Support implementation and improvement of commercial processes
- Ensure technical and commercial proposals align
- Maintain sub-consultant databases and documentation
- Identify potential issues early and propose solutions
- Improve templates, workflows, and processes where possible
Experience & skills
- Proven experience in proposals, bids, or contract coordination
- Experience within a design consultancy or built-environment sector preferred
- Excellent written and spoken English
- Strong communication and professional interpersonal skills
- Highly organised with strong attention to detail
- Ability to work under pressure and manage multiple deadlines
- Proactive, solutions-focused, and able to work autonomously
- Proficiency in MS Office; InDesign and Excel strongly preferred
