Job description
The People Operations & Admin Specialist at Foodics is responsible for managing employee experience and office operations in Dubai and remote locations. This role includes handling onboarding/offboarding, visa processing, coordination with EOR vendors (e.g., Horizons), managing employee documentation and benefits, maintaining HRIS records, and ensuring labor law compliance. The specialist coordinates travel and event logistics, manages office supplies and maintenance, handles vendor relationships, and oversees tenancy contracts. The role also includes managing budgets for office expenses, supporting employee engagement, and ensuring a productive, compliant workplace. This position requires strong organizational skills, discretion, and the ability to manage multiple responsibilities in a fast-paced SaaS environment.
Required skills
Key responsibilities
- Oversee onboarding and offboarding processes for UAE and remote employees
- Manage visa and residency permit processing for Dubai employees
- Serve as point of contact with EOR vendors for onboarding, payroll, benefits, and compliance
- Maintain accurate HRIS records and ensure labor law compliance
- Coordinate employee benefits, engagement activities, and performance reviews
- Support business travel and visa arrangements in coordination with KSA Admin team
- Organize logistics for internal and external events, including venue and vendor coordination
- Maintain office supply inventory and manage procurement and delivery of office equipment
- Manage vendor relationships for cleaning, IT servicing, and office maintenance
- Negotiate and manage office tenancy contracts and related documentation
- Track and maintain office-related expenses and contracts within budget compliance
Experience & skills
- 2–4 years of experience in admin support, people operations, or office management
- Familiarity with Dubai and UAE visa and work permit processes
- Experience in managing vendors, suppliers, and office maintenance
- Skilled in travel logistics and coordination
- Ability to manage multiple tasks independently across teams
- Highly organized, proactive, and detail-oriented
- Discretion in handling confidential employee information
