Job description
The Corporate Travel and Logistics Coordinator (Partner Services ā Dubai) manages all travel, logistics, and expenses for investor roadshows across the GCC region to enable Greenstoneās Investor Relations Professionals and Global Fund Manager partners to execute high-impact, in-person meetings supporting placement mandates. The role plans GCC roadshows with Investor Relations, collaborates with Global Fund Managers and their EAs to arrange all travel, visa, and logistics requirements, oversees preparation and delivery of roadshow materials (printed content, gifts, product samples) with adherence to customs regulations, drafts and finalizes itineraries and budgets for approval, confirms and manages flights, hotels, and ground transport tailored to traveler preferences, and maintains up-to-date itineraries in Greenstoneās CRM as the single source of truth. During roadshows, the coordinator serves as the primary point of contact via phone, email, and messaging; monitors flights, ground transport, hotels, immigration, and connectivity; briefs drivers on schedules and locations; and resolves last-minute re-bookings or changes. Post-roadshow duties include gathering participant feedback, compiling invoices, receipts, and investor contact details, preparing detailed expense reports for Finance, and ensuring timely resolution of finance queries. The role negotiates and manages third-party vendors (airlines, hotels, ground transportation, medical testing facilities) to secure optimal corporate rates and enforce Greenstone service standards, joins orientation calls with Global Fund Managers to present Greenstoneās Client Services program and align logistics expectations, provides back-office logistics support with Group Operations for business continuity, and adheres to compliance and regulatory policies for travel and placement-related activities, including attending regular compliance training and implementing updates.

- Oversee preparation and compliant delivery of roadshow materials (printed content, gifts, product samples) in line with customs regulations
- Draft, finalize, and secure approvals for itineraries and budgets prior to bookings
- Book and manage flights, hotels, and ground transportation tailored to traveler preferences and requirements
- Maintain up-to-date roadshow itineraries in Greenstoneās CRM as the single source of truth
- Serve as primary point of contact during roadshows, monitoring logistics (flights, transport, hotels, immigration, connectivity) and executing rapid re-bookings or changes
- Brief and coordinate drivers on daily schedules, routes, and locations to ensure punctual execution
- Negotiate and manage vendor relationships (airlines, hotels, ground transport, medical testing) to secure optimal corporate rates and service quality
- Join orientation calls with Global Fund Managers to present Client Services and align on logistics expectations and plans
- Collect post-roadshow feedback to refine processes and service delivery
- Compile invoices, receipts, and contact details, and prepare detailed expense reports for Finance; resolve any finance queries promptly
- Adhere to and implement compliance and regulatory policies for travel and placement-related activities, including participation in regular compliance training
- Provide back-office logistics support with Group Operations to ensure smooth business continuity across departments
Experience & skills
- Proven experience in VIP travel and logistics management, ideally within financial services or a client-facing environment
- Demonstrated ability to coordinate multiple concurrent roadshows with meticulous attention to detail
- Strong vendor management and negotiation experience securing corporate rates and enforcing service standards
- Ability to manage compliant movement of materials with knowledge of customs considerations for printed content, gifts, and product samples
- Experience preparing itineraries and budgets, obtaining approvals, and maintaining a CRM as the single source of truth
- Capability to act as primary on-trip contact, managing flight/transport/hotel/immigration/connectivity logistics and rapid re-bookings
- Proficiency in expense documentation and reporting, including invoice and receipt reconciliation and liaison with Finance
- Willingness to adhere to compliance and regulatory policies for travel and placement-related activities and attend regular compliance training
