Job description
The Office Manager at Al Tamimi & Company in Doha will oversee all aspects of office operations to ensure they run smoothly and efficiently, working closely with the Head of Office and the Director of Administration. This client- and employee-facing role involves serving as an administrative liaison between the head office and various stakeholders, implementing strategic objectives, and promoting operational improvements. Responsibilities include managing daily office functions such as workstations, supplies, parking, and security access, preparing internal communications, ensuring service level agreement compliance, supervising reception and administration teams, supporting marketing events, coordinating HR processes for staff, and monitoring compliance and regulatory matters. The Office Manager will also support finance functions including budgeting, petty cash, billing deadlines, and collections, as well as CSR initiatives, sustainability policies, and ISO audit requirements. The role requires strong leadership, organizational, and problem-solving skills, as well as the ability to work under pressure and maintain confidentiality.

Key responsibilities
- Oversee and control daily office operations including facilities, supplies, and security access
- Prepare and distribute internal communications to staff and stakeholders
- Collaborate with the Head of Office to recommend and implement operational improvements
- Coordinate with vendors, clients, and internal departments to ensure smooth operations
- Manage reception and administration team shifts to maintain service coverage
- Support marketing and business development events including travel and accommodation arrangements
- Assist with HR processes including onboarding, training, and performance reviews
- Supervise and train administrative and secretarial staff to ensure excellent service delivery
- Oversee IT resource utilization and policy compliance in coordination with IT heads
- Coordinate with the Facilities Manager for office maintenance needs
- Support budgeting processes and operational resource planning
- Ensure billing deadlines are met and manage collections to meet targets
- Maintain document management systems and encourage contributions to the Knowledge Bank
- Monitor compliance with firm policies and regulatory requirements, escalating issues when necessary
- Coordinate CSR events, volunteer programs, and charity initiatives
- Ensure adherence to sustainability policies and ISO certification requirements
Experience & skills
- Minimum 3 years’ management or senior administrator experience in a corporate or legal/professional services environment
- Experience in planning creative solutions for complex administrative issues
- Proficiency in IT systems, including document management systems
- Strong interpersonal and communication skills with excellent oral and written English
- Outstanding organizational, research, analysis, problem-solving, and time management skills
- Ability to work under pressure and meet deadlines
- Leadership skills and ability to work autonomously and in a team
- High level of confidentiality, judgment, and discretion
- Arabic language skills desirable but not essential
- Experience in Doha preferred
- Experience with HR, IT, Finance, and Marketing functions in a professional firm is desirable
