Job description
The Project Coordinator β Events role at Emirates Loves is a full-time, on-site position based in Sharjah, UAE, focused on administrative support and coordination for events. The role encompasses end-to-end support for planning, scheduling, and executing events while maintaining effective communication with internal teams, vendors, external partners, and government authorities. Responsibilities include assisting in defining event objectives, scope, and deliverables, developing detailed schedules and timelines, coordinating tasks across multiple stakeholders, and tracking milestones to ensure smooth event execution. The role also requires maintaining accurate documentation, including plans, reports, vendor contracts, and compliance-related records, as well as monitoring progress, preparing management summaries, supporting budget tracking, and handling vendor payments. Additionally, the coordinator drafts official communications, acquires permits and approvals, and ensures adherence to event standards and KPIs. The position demands proficiency in Microsoft Office tools, familiarity with event management and project tracking systems, strong organizational and time-management skills, high attention to detail, problem-solving abilities, and the ability to handle sensitive information with professionalism and confidentiality, often including extended hours or weekend work.

- Assist in defining event objectives, scope, and deliverables and develop detailed event schedules and timelines.
- Coordinate tasks and responsibilities among internal teams, vendors, and external partners to ensure smooth event execution.
- Track key event milestones, deadlines, and logistical performance to maintain project control.
- Act as primary point of contact for event-related updates, inquiries, and stakeholder communications.
- Organize and document meetings, including recording minutes, tracking action items, and following up on deliverables.
- Maintain accurate event documentation, plans, reports, and vendor contracts, and ensure compliance with regulations.
- Support budget tracking, vendor payments, and resource allocation for events.
- Draft and send official letters and communications on behalf of the events team.
- Coordinate necessary permits, approvals, and clearances for events, ensuring regulatory compliance.
- Monitor and report on event KPIs including milestone completion, documentation accuracy, and communication effectiveness.
Experience & skills
- Hold a Bachelorβs degree in Business Administration, Event Management, Hospitality, or a related field.
- Have 2β4 years of experience in event coordination, administrative support, or project coordination.
- Demonstrate experience working with vendors, government entities, or compliance-related documentation.
- Possess strong organizational and time-management skills with the ability to manage multiple events and deadlines.
- Exhibit excellent written and verbal communication skills, including drafting official correspondence and reports.
- Demonstrate high attention to detail for documentation, contracts, schedules, and reports.
- Possess strong problem-solving skills and the ability to handle last-minute changes effectively.
- Be proficient in Microsoft Office tools including Word, Excel, PowerPoint, and Outlook; familiarity with event management or project tracking tools is a plus.
- Have experience in document control, record-keeping, reporting, and vendor payment follow-ups.
- Understand basic contract management and compliance procedures and maintain professionalism and confidentiality.
