Job description
The Operations & Contracts Lead at Creators HQ in Abu Dhabi, UAE, is a full-time, on-site role responsible for supporting the Creators & Programs team in executing high-quality programs and events. The position focuses on program operations, contract management, logistics coordination, and operational support to ensure seamless execution of educational programs, workshops, and strategic initiatives. The candidate will maintain accurate tracking sheets, internal documentation, and calendars while coordinating with internal teams and program managers. Responsibilities include managing operational logistics such as flights, accommodation, and scheduling, as well as coordinating contracts, proposals, consent forms, and payment processing to ensure timely completion. The role requires handling program administration tasks such as reviewing and approving workshop attendees through backend systems, maintaining organized records, and supporting operational processes across teams. The candidate must be highly organized, detail-oriented, flexible with working hours, and capable of managing multiple operational tasks efficiently.
Required skills
Key responsibilities
- Assist Program Managers in implementing and executing programs with accurate tracking and documentation
- Ensure all internal documents and tracking sheets are updated and reflect current program details
- Verify program dates, timings, and details are accurately reflected on the website calendar
- Coordinate logistics including flights, accommodation, and scheduling with the Operations Department
- Support the planning and execution of program logistics and operational requirements
- Coordinate and follow up on proposals, contracts, consent forms, and payment processing to ensure completion prior to program dates
- Maintain organized documentation and internal records related to programs and partnerships
- Review and approve workshop attendees through the backend system
- Support internal teams with program-related documentation and operational processes
Experience & skills
- Demonstrate a minimum of 2 years of experience in event coordination, program support, or operations, including handling logistics such as flights, accommodation, and scheduling
- Possess experience in customer service or subscription/membership management to support program participants
- Exhibit highly organized and detail-oriented work habits for accurate program execution
- Show strong communication skills for coordinating with internal teams and external stakeholders
- Demonstrate ability to manage multiple operational tasks efficiently under time constraints
- Be flexible with working hours as required to support program and event schedules
- Maintain proficiency in backend systems or CRM tools for workshop attendee management and operational tracking
- Ensure accurate documentation and follow-up for contracts, proposals, consent forms, and payment processes
