Job description
The Coordinator is responsible for delivering end-to-end administrative and operational support across key HR processes, including onboarding, visa management, employee data handling, and system updates. Acting as a central point of contact, the role ensures timely coordination with internal teams and stakeholders to maintain compliance, enhance employee experience, and support seamless service delivery. All HR administrative activities lead to direct or indirect financial impact therefore accuracy is key.

Key responsibilities
- Raise Purchase Requisitions and Purchase Orders in the appropriate system
- Facilitate bank updates within Fusion, ensuring simultaneous updates in EBS and saving of employee documents
- Handle bank update requests initiated by employees within a timely manner
- Collect employee documents to facilitate onboarding activities
- Liaise with ICT team to initiate assets for new joiners
- Provide update to line managers regarding new joinersâ start dates for onboarding
- Assist employees with HR process queries and policy guidance
- Coordinate with Shared Services team for insurance renewal data collection, audit, and census list preparation
- Facilitate medical insurance requests during onboarding and throughout employee lifecycle
- Provide ad-hoc support to HR Business Partner with project-related work
- Manage end-to-end onboarding process including visa processing, medical appointments, Emirates ID, and medical insurance
- Ensure all employee records and onboarding trackers are up to date, accurate and recorded in Oracle and ICT systems
- Update employee contracts during renewal, ensuring system updates and proper document filing
- Generate NOCs (Arabic and English) with accurate employee information
- Document passport release at the time of collection
- Support HRBPs with offboarding processes including visa and insurance cancellation, asset return, and exit interviews
- Organize calendar invites for Lyra Webinars by liaising with stakeholders
- Provide ideas for process improvements and HR service enhancements
- Manage calendars, schedules, and communication channels to ensure effective departmental collaboration
- Partner with Sr. Analyst to conduct regular audits on employee data and documentation
Experience & skills
- Bachelorâs degree in Human Resources, Business Administration, or a related field
- 2â3 years of experience in HR operations or administrative support, preferably in a fast-paced environment
- Previous experience with HRIS tools
- Proficiency in MS Office Suite
- Excellent verbal and written communication skills
