Job description
The Administrator ā Welcome Centre supports Transguard Groupās onboarding operations by coordinating and facilitating a seamless experience for new joiners across UAE sites. The role focuses on ensuring the fastest possible completion of arrival processes, managing medical and Emirates ID scheduling, and maintaining the comfort and confidence of all employees through their onboarding journey. Responsibilities include collecting and safeguarding passports for EID and medical processing, updating HR360 systems with arrival information, conducting HR induction sessions, and ensuring compliance with appointment attendance. The role requires meticulous document handling, adherence to Transguard Groupās key policies, and the ability to communicate effectively with new employees. Continuous improvement is emphasized, encouraging suggestions that enhance efficiency and reduce arrival process time. Candidates should demonstrate intermediate English proficiency and working knowledge of MS Office (Excel, Word, Outlook), with preference for diploma holders familiar with HR systems and administrative coordination in high-volume environments.

Key responsibilities
- Coordinate daily onboarding operations to ensure seamless arrival processes for new joiners
- Handle and safeguard passports for all new-joiner employees during the medical and EID process
- Mark new joiners as arrived on HR360 and update system records promptly
- Conduct HR induction (HRI) sessions for all new employees to explain key policies and procedures
- Receive new joiners from the airport and update arrival status on HR360 and via email
- Ensure 100% attendance for medicals, EID, and training appointments
- Assist new employees with understanding company policies and procedures
- Accommodate and resolve queries and concerns raised by new joiners during their onboarding journey
- Ensure complete and accurate documentation of all onboarding activities
- Continuously identify and propose improvements to streamline the arrivals process and enhance employee experience
Experience & skills
- English level 3 proficiency as per TG EPT standards
- Intermediate knowledge and hands-on experience with MS Office applications
- MS Excel proficiency at intermediate level; MS Word at basic level
- Ability to read, write, and manage emails on Microsoft Outlook
- Preferably a diploma holder (higher secondary qualifications also considered)
- Attention to detail and care in handling sensitive documents such as passports
- Strong administrative coordination and customer service skills
- Ability to manage multiple onboarding processes simultaneously and meet tight timelines
