The Fleet Sales Coordinator (Automotive Fleet Sales Operations) at AW Rostamani Group supports the fleet sales team by managing customer enquiries, processing vehicle orders, and coordinating vehicle deliveries to ensure a seamless fleet sales process. The role acts as a liaison between clients, dealerships, Sales Consultants, and internal departments, ensuring efficient reservation creation and confirmation, order booking, and delivery coordination that contribute to fleet sales target achievement. The coordinator serves as the primary customer support contact via telephone, email, or face-to-face interactions when sales consultants are in the market. Operational responsibilities include coordinating with the Traffic Department to process customer registration, fine clearance, mortgage release, and related vehicle documentation activities, verifying sales documentation such as custom certificates and VIN details prior to customer communication, preparing supporting documents for invoicing, and maintaining organised filing systems for records. The role allocates customer leads and enquiries to the sales team and ensures timely consolidation and submission of customer registration requests. Administrative duties include generating and submitting operational reports such as daily invoicing reports, weekly forecasts, and target/model mix achievement reports while assisting management with market intelligence gathering, competitor quotation analysis, logistics coordination, and order management. Finance and risk management responsibilities include ensuring timely submission of bank documents, maintaining proper control and copies of customs documents and traffic letters, verifying cheque clearance before releasing customer registration papers, processing vehicle registrations, and facilitating vehicle delivery to clients. The position also supports onboarding activities for new team members by coordinating with GHRD and GIT departments to arrange system access including Windows access and Oracle responsibilities. The role requires adherence to ISO standards, Standard Operating Procedures (SOPs), and Group Internal Audit (GIA) requirements, while ensuring full compliance with company policies and industry regulations, supporting internal audits, and implementing corrective actions to maintain operational integrity. The position requires proficiency in Microsoft Office, CRM systems, Oracle, and sales-related software while maintaining accurate documentation and coordination across automotive fleet sales operations and vehicle leasing processes.

Key responsibilities
- Act as liaison between customers and Sales Consultants to support fleet sales operations including reservation creation and confirmation, sales order booking, and vehicle delivery coordination
- Serve as primary point of contact for customer enquiries via telephone, email, and face-to-face interactions while providing customer support during consultants’ field activities
- Coordinate with the Traffic Department to process vehicle registration, fine clearance, mortgage release, and related fleet documentation activities
- Verify sales documentation including custom certificates and VIN details before communicating order status and vehicle information to customers
- Prepare supporting documents for invoicing while maintaining organised filing and record management systems
- Allocate leads and enquiries to the sales team and ensure timely consolidation and submission of customer registration requests

- Assist managers with market intelligence gathering, competitor quotation analysis, logistics coordination, and vehicle order management

- Ensure compliance with ISO standards, Standard Operating Procedures (SOPs), and Group Internal Audit (GIA) requirements while supporting internal audits and corrective actions
Experience & skills
- Hold a graduate or diploma qualification with strong IT proficiency
- Possess minimum 2 years of experience in sales coordination or a related automotive sales operations role
- Demonstrate proficiency in Microsoft Office, CRM systems, and sales-related software tools
- Apply knowledge of fleet sales processes and vehicle leasing operations as an advantage
- Operate effectively in fast-paced environments while managing multiple coordination tasks and sales documentation processes
- Communicate effectively in English with Arabic considered an added advantage
