Job description
The Coordinator, HR Shared Services at Transguard Group in Dubai provides operational support to the HR Shared Services team, managing day-to-day HR processes efficiently. The role encompasses medical insurance administration, Occupational Health card management, airside pass management, travel and absence management, document control, Arabic letter processing, Transguard ID issuance, GRO scheduling, monitoring police and immigration cases, Arabic translations, and flight ticket processing. The position requires effective communication with internal teams, departments, and external entities, handling sensitive information with full confidentiality. The Coordinator also maintains accurate HR records in Oracle, prepares monthly reports, processes purchase requisitions, and reconciles expenses, while proactively identifying and proposing process improvements to streamline HR operations.
Required skills
Key responsibilities
- Submit flight bookings and airfare recharges in accordance with company policy
- Submit applications to respective authorities for residence visas and job requirements
- Reconcile expenses incurred and submit Purchase Requisitions and Goods Received notes for supplier payments
- Communicate flight details to employees in a timely manner
- Generate and distribute requested documents promptly to employees
- Inform stakeholders of any service delays in advance to prevent inconvenience
- Communicate pending tasks affecting applications with stakeholders
- Update application and document details on Oracle while maintaining accuracy
- Submit monthly reports to the manager for analysis
- Obtain email approvals from Senior Manager prior to processing Purchase Requisitions
- Maintain confidentiality around sensitive information
- Report any errors or discrepancies to the Manager and propose corrective solutions
- Create or modify processes to enhance efficiency and propose process improvement ideas to the Manager
Experience & skills
- Minimum 1–2 years of experience in data entry management and document control
- Bachelor’s degree
- Proficient in Excel
- EPT (English Proficiency Test) Level 3
- Time-oriented approach to handling queries and tasks
- Ability to maintain confidentiality of sensitive HR data
- Strong communication skills for coordination with multiple stakeholders
