Job description
The Assistant Office Manager - AOCC role is based in Dubai within Dubai Airportsâ Service & Operations function, supporting Airport Operations Control Center (AOCC) activities in a fast-paced, real-time operational environment. The role ensures smooth administrative, financial, and operational support for airport operations across terminals and operational areas. The Assistant Office Manager is responsible for managing office systems, supporting senior leadership (including VP AOCC), coordinating budgets and suppliers, maintaining documentation, and ensuring compliance with operational, health & safety, and administrative standards. The role also supports continuous operational improvement and assists during disruptions, incidents, and high-pressure operational situations to ensure continuity of airport operations.

- The Assistant Office Manager is responsible for managing office budgets, including tracking expenditures, processing invoices, coordinating purchasing activities, and ensuring accurate financial monitoring and control of administrative and operational costs.
- The role involves overseeing the VP AOCCâs calendar, scheduling meetings, managing events, handling correspondence, and ensuring timely follow-up on actions with senior management and internal stakeholders.
- The position requires implementing and maintaining office administrative systems, preparing reports, presentations, policies, and operational documentation while ensuring organizational records are accurately maintained and updated.
- The Assistant Office Manager supports smooth office and facilities operations across T1 and AOCC, including maintenance coordination, inventory management, access control administration, equipment procurement, and induction processes.
- The role includes ensuring compliance with health, safety, and operational standards by supporting audits, maintaining records, and ensuring office and operational areas adhere to established safety procedures.
- The position requires supporting strategic programmes and operational projects, including tracking progress, preparing reports, and contributing to operational improvements aligned with best practices in airport operations.
- The Assistant Office Manager provides support during operational disruptions, incidents, or crisis situations by coordinating administrative response, communication tracking, and ensuring timely information flow to relevant stakeholders.
- The role involves continuous improvement of administrative and operational processes by identifying inefficiencies, supporting process enhancements, and contributing to improved service delivery within the AOCC environment.
Experience & skills
- The candidate must hold a bachelorâs degree in Business Administration or a related field as a minimum educational qualification.
- The role requires a minimum of 3 years of experience in an administrative, office management, or related operational support role.
- The candidate must demonstrate strong proficiency in MS Office applications, including reporting, documentation preparation, and data handling tasks.
- The role requires strong communication skills, both written and verbal, to effectively interact with senior leadership and cross-functional stakeholders.
