Job description
The IT Project Coordinator at IFZA Dubai is responsible for providing administrative and coordination support throughout the lifecycle of IT projects. This includes maintaining accurate and up-to-date project documentation, records, and registers, ensuring version control, recording project decisions and outcomes, and tracking risk, issues, dependencies, and assumptions. The role also involves coordinating procurement activities, managing vendor documentation, supporting audit readiness, and compiling project status reports based on inputs from IT Team Leads and the Project Manager. The IT Project Coordinator operates under the guidance of the Project Manager, ensuring disciplined project administration, strict adherence to PMO standards, and cross-departmental coordination with IT, Procurement, Finance, and other internal teams. The position requires proficiency with project management tools and strong technical knowledge in general IT, network, and systems administration, with a focus on accuracy, organization, and timely reporting.

Key responsibilities
- Maintain complete, accurate, and up-to-date project documentation across all IT projects.
- Create, update, and archive project records including plans, schedules, registers, approvals, and correspondence, ensuring proper classification and version control.
- Record project decisions, actions, and outcomes as approved by the Project Manager or IT Manager.
- Update project timelines, task lists, and tools such as Zoho Projects strictly under Project Manager direction.
- Schedule project meetings, record minutes, distribute action items, and track follow-ups.
- Compile project status reports using approved inputs from IT Team Leads and the Project Manager.
- Maintain risk, issue, dependency, and assumption logs, coordinating updates with relevant teams.
- Coordinate with the Procurement department for project-related purchases, maintain documentation, track vendor status, and report updates to the Project Manager.
- Support audits and reviews by providing complete, traceable, and audit-ready documentation.
- Perform additional IT-related tasks as assigned by Management and ensure cross-departmental collaboration.
Experience & skills
- 1-2 years of experience in project coordination, preferably in IT project management (ITPM is a plus).
- Full proficiency in English, both written and spoken.
- Strong organizational skills with high attention to detail and accuracy.
- Technical knowledge in general IT, network, and systems administration.
- Experience using project management tools such as Zoho Projects, ClickUp, Jira, Confluence, or SharePoint.
- Ability to manage multiple tasks and priorities in a structured, deadline-driven environment.
- Strong communication skills for coordinating with IT teams, Procurement, Finance, and other departments.
