AbbVie is seeking an Emirati Front Desk Specialist to manage reception duties and provide administrative support at its Dubai office. The role involves greeting visitors, handling phone calls, coordinating meeting logistics, managing supplies, processing invoices, supporting shipping activities, and assisting internal teams with administrative tasks. This position requires professionalism, organizational skills, and the ability to multitask in a fast-paced environment.
Required skills
Key responsibilities
- Greeting clients, visitors, and staff in a professional and courteous manner and managing check-ins efficiently.
- Managing a multi-line phone system to answer and redirect calls promptly.
- Coordinating conference room bookings and preparing meeting spaces.
- Handling mail and deliveries including sorting, distributing, and scheduling courier pickups.
- Maintaining a clean and organized reception area.
- Assisting with administrative tasks such as filing, data entry, and document preparation.
- Monitoring and ordering office and pantry supplies.
- Adhering to security protocols by managing visitor logs and issuing access badges.
- Coordinating building permit processes and parking access support.
- Arranging business cards for new hires.
- Coordinating meeting refreshments with internal teams.
- Processing contract renewals for Admin services in Dubai and Kuwait.
- Preparing and processing invoices for approval and liaising with accounts.
- Supporting Brand teams with brand material shipments.
- Supporting PTP team with shipping of corporate card documents for Pharma and Aesthetics.
- Providing any other ad hoc administrative support as needed.
- Raising shopping carts and purchase orders.
- Uploading contracts to the MAP contract database.
Experience & skills
- Open to Emirati nationals only.
- 0ā2 years of experience in administrative or receptionist roles.
- Strong interpersonal and communication skills.
- Professional appearance and demeanor.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
