Job description
The Human Resources Administrator (Jumeirah Living World Trade Centre Residence) supports the Human Resources Department in a luxury serviced residence environment by coordinating and tracking internal transfer applications and associated correspondence, managing recruitment correspondence including invitations for interview and regret letters, maintaining hold files, and overseeing new joinersâ files in coordination with HR Admin and department heads. The role tracks all probation period performance and issues completion letters, disseminates medical appointments received from the HR Medical Team to respective departments, and investigates and responds to colleague transportation and accommodation issues. It requires handling confidential matters with appropriate sensitivity, ensuring compliance with all health, hygiene, security, safety and fire regulations, and communicating and enforcing policies and procedures. The administrator performs related duties and special projects as requested by the HR Manager to ensure smooth departmental operations, takes responsibility for colleague cafeteria standards and service continuity, and organizes social events, recognition ceremonies, and team-building activities to enhance colleague engagement. Key responsibilities
- Coordinate and track all internal transfer applications and manage associated HR correspondence and documentation.
- Prepare and manage recruitment correspondence, including interview invitations and regret letters, and maintain hold files.
- Manage new joinersâ files in coordination with HR Admin and heads of department to ensure complete onboarding documentation flow.
- Track probation period performance for all colleagues and issue completion letters upon successful probation.
- Distribute medical appointments received from the HR Medical Team to relevant departments promptly.
- Investigate and resolve colleague transportation and accommodation issues, escalating where required.
- Handle confidential matters and information with appropriate sensitivity and in adherence to HR protocols.
- Ensure compliance with health, hygiene, security, safety and fire regulations across HR-related processes and facilities.
- Communicate and reinforce organizational policies and procedures to colleagues and ensure adherence.
- Execute related duties and special projects assigned by the HR Manager to maintain smooth HR operations.
- Oversee colleague cafeteria operations, ensuring standards are met and service runs smoothly for colleagues.
- Organize social events, recognition ceremonies, and team-building activities to drive colleague engagement.
Experience & skills
- Demonstrate previous experience in a similar HR administrator role or capacity within an organizational setting.
- Show significant or demonstrable secretarial experience supporting departmental administration and correspondence.
- Exhibit experience in office management, including document control and facility-related coordination.
- Work effectively to deadlines, managing priorities and delivering accurate HR outputs under time constraints.
