Job description
Sephora is looking for a Gifting & Activations Executive to coordinate gifting and sampling processes as well as manage online activations. This role is ideal for someone experienced in e-commerce, digital marketing coordination, and cross-functional project execution. Responsibilities include SKU setup, PO creation, calendar tracking, compliance submissions, asset coordination, and ensuring timely execution of gifting and online visibility programs. The candidate should be detail-oriented, proactive, and capable of thriving in a fast-paced environment.

Key responsibilities
- Ensure relevant documents, samples, and assets are received from brands for gifting SKUs.
- Oversee the setup of gifting SKUs in the internal system, including but not limited to checkout samples, GWPs, must-have boxes, and CRM boxes.
- Ensure timely request and creation of POs for gifting SKUs.
- Maintain accurate and up-to-date the gifting tracker and calendar, including e-commerce gifting tracker with go-live dates, inventory status, and timelines.
- Prepare and submit ingredient lists and samples for compliance approval.
- Brief sleeves artwork to relevant stakeholders and coordinate artwork requirements.
- Liaise with external stakeholders for sourcing and producing sleeve designs.
- Prepare and deliver gifting boxes with the correct samples for photoshoots.
- Provide clear kitting briefs to the logistics team to ensure smooth kitting execution.
- Regularly monitor, check, and follow up to ensure timely go-live of gifts across gifting programs (checkout samples, GWPs, must-have boxes, CRM boxes).
- Gifting redemption and performance report tracking in collaboration with ecomm team.
- Create and manage the monthly online visibility calendar, ensuring alignment with launches and stock availability.
- Collaborate with cross-functional teams to finalize the monthly calendar for online visibility, including product launches and KCPs (key campaign programs).
- Coordinate and track SKU inclusion, stock availability, and alignment on KCPs with internal teams.
- Liaise with internal and external stakeholders to ensure assets are delivered according to guidelines and are available for use.
- Ensure assets are received on time and meet brand and visibility guidelines.
- Brief multi-branded KCP assets in a timely manner to both internal and external teams for proper use.
- Record and monitor daily online visibility, including online gifting, ensuring assets are live and available for sharing once they go live.
- Maintain and share a monthly summary of online activations and visibility efforts.
Experience & skills
- Bachelorās degree in Marketing, Business, or a related field (or equivalent experience).
- 2+ years of experience in gifting, e-commerce, or digital marketing coordination.
- Experience in project management or cross-functional team collaboration is a plus.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), with experience in tracking and reporting tools.
- Experience in working with cross-functional teams, including logistics, marketing, and creative departments.
- Experience in working with multiple projects at the same time.
- Understanding of online activations and digital assets.
