Job description
The Senior Expeditor role within Woodâs Oil, Gas & New Energies business in Abu Dhabi is responsible for full-cycle expediting and supplier management across EPCM, oil and gas, mining, power, infrastructure, and heavy industrial projects. The position ensures purchase orders are monitored from placement through delivery, tracks fabrication progress, reviews supplier production schedules, manages inspection and testing plans, and ensures shipping documentation and logistics alignment. The role requires managing vendor documentation including drawings, data sheets, QA/QC records, and technical documents; maintaining comprehensive expediting logs, fabrication status charts, delivery forecasts, and non-conformance closures; and preparing weekly/monthly expediting reports. Responsibilities include coordinating with Procurement, Engineering, Construction, logistics teams, and QA/QC inspectors; ensuring supplier adherence to contractual, technical, and quality requirements; verifying compliance with EPCM procedures, safety standards, Incoterms, international logistics rules, import/export processes, and project specifications. The role requires the ability to identify schedule threats, propose mitigation strategies, support procurement schedules, attend vendor kick-off and pre-inspection meetings, coordinate release activities, and support material readiness for project milestones. It leverages ERP systems, project management platforms, and material tracking software to maintain accuracy, transparency, and reporting rigor.

Key responsibilities
- Monitor and track all purchase orders from placement through delivery, ensuring adherence to project schedules and contractual requirements
- Conduct proactive expediting through supplier visits, calls, and progress reporting to identify potential delays or issues
- Review supplier production schedules, fabrication progress, inspection and testing plans, and shipping arrangements
- Escalate critical delays and collaborate with suppliers to develop and implement recovery plans
- Ensure vendor documents such as drawings, data sheets, test reports, and QA/QC documentation are submitted and approved per project requirements
- Collaborate with Procurement, Engineering, and Construction teams to align material readiness with project milestones
- Attend project progress meetings and provide expediting status updates and risk assessments
- Coordinate with logistics on packing, transportation, customs documentation, and delivery sequencing
- Maintain accurate expediting logs, vendor progress reports, fabrication status charts, and delivery forecasts
- Prepare weekly and monthly expediting reports for project management
- Track and ensure closure of all non-conformances related to supplier performance or documentation
- Identify schedule risks early and propose mitigation strategies
- Support development and maintenance of procurement schedules and material tracking tools
- Participate in vendor kick-off and pre-inspection meetings to clarify schedule requirements
- Verify supplier compliance with contractual, technical, and quality requirements
- Interface with QA/QC inspectors to coordinate inspections, witness points, and release activities
- Ensure adherence to EPCM procedures, safety standards, and regulatory requirements
Experience & skills
- Hold a diploma or degree in Supply Chain, Engineering, Business, or a related field
- Bring 7â12+ years of expediting experience in EPCM, oil and gas, mining, power, infrastructure, or heavy industry
- Possess strong understanding of procurement workflows, engineering documentation, and fabrication processes
- Have knowledge of international logistics, Incoterms, and export/import requirements
- Demonstrate proficiency in project management tools, ERP systems, and material tracking software
- Show strong vendor management and negotiation capabilities
- Be able to read engineering drawings and technical documentation
- Exhibit high attention to detail, urgency, and accountability
- Bring strong analytical, reporting, problem-solving skills and the ability to operate under pressure in fast-paced, multi-project environments
