Job description
The role supports the administration, development, and maintenance of Flight Operations manuals, programs, and documentation, ensuring compliance with regulatory requirements and internal standards. Responsibilities include coordinating the revision of OM-A policies relating to weight and center of gravity, aircraft performance, ground handling, flight time limitations, dispatch, and flight planning in collaboration with SMEs across Flight Operations Engineering, Navigation Services, Electronic Flight Bag, Crew Scheduling and Planning, Flight Dispatch, and Airport Services. The specialist manages the Cold Weather Operations Program, including seasonal updates of the Cold Weather Operations Manual and Holdover Time Guidelines. Duties include preparing and coordinating Aircrew Notices and internal memos, supporting internal and external audits, implementing corrective and preventive actions, and conducting root cause analyses. The role proactively identifies discrepancies between Flight Operations manuals and aviation regulations, prepares compliance matrices, conducts gap analyses, and supports audit readiness for regulatory inspections and IOSA audits. It coordinates publication and revision of Flight Operations manuals with the Technical Author, supports regulatory compliance functions, liaises with the GCAA for approval processes, participates in Safety Action Group and Operational Risk Assessment meetings, monitors and responds to EFOS reports, and ensures consistency across interrelated operational manuals. The specialist also collaborates with Compliance Monitoring to secure document approvals according to governance processes.

- Support the Cold Weather Operations Program, including administering seasonal updates of relevant manuals and Holdover Time Guidelines
- Prepare, review, and coordinate issuance of Aircrew Notices and internal memos to ensure accuracy and regulatory alignment
- Provide support during internal and external audits, assist in implementing corrective and preventive actions, and conduct root cause analyses
- Identify discrepancies between Flight Operations manuals and civil aviation regulations and recommend corrective actions
- Prepare compliance matrices and conduct gap analyses to support regulatory and IOSA audit readiness
- Coordinate publication and revision of Flight Operations manuals and documents with the Technical Author
- Support the implementation and quality control of Flight Operations compliance functions
- Assist in developing and refining policies and procedures within OM-A and other operational manuals
- Liaise with the GCAA and participate in approval and acceptance processes for Flight Operations manuals and documents
- Represent Flight Operations in Safety Action Group and Operational Risk Assessment meetings
- Monitor, analyze, and respond to EFOS reports and recommend appropriate actions
- Identify interrelationships among Flight Operations manuals and other operational documents to ensure consistent cross-referencing
- Liaise with Compliance Monitoring for document reviews, feedback, and formal approvals
Experience & skills
- Hold a Bachelor's Degree (3+ years)
- Minimum 7 years of experience in airline operations
- Possess a certification relevant to regulatory compliance
- Current or former dispatcher or pilot license is preferable
- Fluent in English, with other languages an advantage
