The Executive Personal Assistant to the Area General Manager – Dubai South & Salalah at Hilton Dubai Jumeirah provides comprehensive administrative and executive support to the General Manager within a global hospitality environment. Hilton is a leading international hospitality company operating across luxury and full-service hotels, dedicated to delivering exceptional guest experiences under its mission of spreading hospitality worldwide. The Personal Assistant is responsible for managing a wide range of executive office functions to ensure the smooth and professional operation of administrative activities. This includes handling incoming and outgoing correspondence, distributing mail, managing internal and external communication, and preparing complex numerical and financial reports as instructed by management. The role involves drafting official correspondence on behalf of the management team and ensuring accurate and timely communication with both internal departments and external stakeholders. The Personal Assistant is also responsible for organizing and maintaining office systems, including filing, document management, and equipment organization to ensure operational efficiency. Additional responsibilities include managing the executive calendar, scheduling meetings, and recording meeting minutes to support leadership decision-making processes. The role requires handling guest relations tasks, including greeting visitors, managing VIP guest scrutiny, and responding to guest satisfaction feedback and assistance cases. The position also includes administrative coordination such as ordering office supplies, maintaining office equipment, and ensuring proper use of email, telephone, and voicemail systems in accordance with company policy. The Personal Assistant must maintain high levels of professionalism, confidentiality, and accuracy while supporting the General Manager in daily operations and ensuring timely execution of all administrative tasks. The role operates in a fast-paced hospitality environment requiring strong organizational ability, communication skills, and the capacity to manage multiple priorities effectively.

Key responsibilities
- Provide full administrative and executive support to the General Manager including scheduling, correspondence, and office management
- Manage incoming and outgoing mail, ensuring proper distribution and handling of internal and external communications
- Prepare and type correspondence, reports, and financial documents as instructed by management
- Maintain and organize office files, records, and equipment in a structured and professional manner
- Manage executive calendar including scheduling meetings and recording detailed meeting minutes
- Handle guest relations activities including greeting visitors and managing VIP guest interactions
- Monitor guest satisfaction feedback and assist with guest assistance cases as required
- Ensure proper use and management of email, telephone, and voicemail systems according to company policies
- Order and maintain office supplies and administrative equipment for the executive office
- Support internal and external communication by preparing official correspondence on behalf of management
Experience & skills
- Minimum 2 years of experience in a similar personal assistant or executive administrative role
- Strong organizational and time management skills with ability to handle multiple priorities
- Excellent English communication skills in both written and verbal form
- Ability to type at least 60 words per minute with accuracy
- Ability to prepare formal correspondence and handle administrative documentation
- Experience in hospitality or hotel environment preferred
- Ability to deal professionally with internal and external stakeholders including VIP guests
- Ability to transcribe handwritten notes and recorded information accurately
- Valid driving license and access to a car
