Job description
As a Document Controller at DP World, you will play a critical role in managing and maintaining accurate records and documentation for multiple large-scale infrastructure and logistics projects. The position ensures compliance with both internal standards and client-specified procedures. You will oversee document workflows, establish and maintain structured filing systems, facilitate efficient access to project documents, and support audit readiness. This role is pivotal to the smooth coordination of project documentation throughout its lifecycle, from initiation to close-out, and is key to ensuring regulatory compliance, project continuity, and operational excellence. The role also involves interfacing with internal project teams, clients, and third-party vendors to control and distribute engineering, procurement, and construction documentation. You must be proficient in document control software and file management practices and possess strong attention to detail.

Key responsibilities
- Manage and control the flow of documentation for assigned projects with accuracy, consistency, and adherence to timelines.
- Set up and maintain structured digital and physical project folders using predefined naming conventions and indexing methods.
- Ensure alignment with project-specific documentation standards, formats, and regulatory guidelines.
- Prepare and release work lists in coordination with the Project Manager or Planner after project award.
- Develop, maintain, and update the Master Document Register (MDR) based on input from relevant stakeholders.
- Implement and enforce document templates and version control protocols to ensure standardization across projects.
- Monitor FTP server activity, receive and distribute incoming/outgoing project documents, and maintain a log of all communications.
- Ensure all project documentation, including drawings, reports, approvals, and correspondence, are archived correctly for future retrieval and audit compliance.
- Coordinate access permissions for project folders and shared drives based on roles and security protocols.
- Collaborate with cross-functional teams to ensure timely document submissions, revisions, and transmittals.
- Generate reports related to document control status, outstanding items, compliance, and distribution records.
- Support the final handover process by compiling and archiving all 'As-Built' documents and deliverables.
- Participate in Visible Safety Leadership Walkdowns (VSL) and ensure documentation aligns with safety reporting standards.
- Ensure audit readiness by organizing cash audit documents and maintaining legal documentation for up to six months post-closure.
Experience & skills
- Diploma or Bachelor's Degree in any discipline, preferably related to administration, engineering, or business management.
- Proficiency in MS Office applications, including Excel, Word, and Outlook.
- Experience with Project Document Control Systems such as Aconex, Procore, or client-specific DMS platforms.
- Knowledge of Master Document Register (MDR) preparation and maintenance practices.
- Familiarity with ISO standards and document version control processes.
- Understanding of file archiving, structured folder setups, and network drive protocols.
- Experience working in fast-paced project environments, especially within engineering, construction, infrastructure, or oil & gas sectors.
- Demonstrated ability to handle sensitive documentation securely and maintain confidentiality.
- Excellent organizational and multitasking skills with attention to detail.
- Ability to interface with technical and non-technical staff, clients, contractors, and external stakeholders.
- Prior experience in documentation for regulatory or compliance audits is a plus.
- Good written and verbal communication skills in English; additional languages (like Arabic or Hindi) are an advantage.
