Job description
The Legal Operations Specialist II reports directly to the META General Counsel and is based in the United Arab Emirates on a hybrid work schedule. The role supports the legal function across the META region by combining legal operations, corporate paralegal support, and administrative coordination to ensure the smooth day-to-day functioning of the legal department. The position plays a key role in strengthening corporate governance, entity management, and legal process efficiency while supporting business stakeholders and legal leadership. Responsibilities span legal entity management across Honeywell’s META entities, including maintenance of statutory records, regulatory filings, and governance documentation, as well as support for board and shareholder matters such as preparation of resolutions, powers of attorney, minutes, and corporate documentation. The role manages corporate licensing processes, renewals, and regulatory submissions to ensure ongoing compliance, maintains corporate records and registers in line with local legal requirements, supports contract lifecycle processes including document preparation, execution coordination, and recordkeeping, and tracks deadlines, filings, and regulatory obligations while proactively escalating risks. In legal operations and process management, the role manages and optimizes legal department workflows, trackers, and reporting tools, supports implementation and maintenance of legal technology platforms, contract management systems, document management systems, and knowledge repositories, and coordinates cross-functional engagement between legal, compliance, finance, and business teams. The position also provides administrative coordination to the META legal leadership team, including scheduling, meeting coordination, agendas, follow-ups, preparation of presentations, reports, dashboards, onboarding of external counsel, vendor coordination, engagement documentation tracking, budget tracking, invoice coordination, and management of legal department documentation systems and shared repositories. Key responsibilities
- Support legal entity management across Honeywell’s META entities by maintaining statutory records, preparing and submitting regulatory filings, managing governance documentation, maintaining corporate registers, tracking regulatory obligations, and ensuring full compliance with local legal requirements and corporate governance standards.
- Assist with board and shareholder matters by preparing board resolutions, shareholder resolutions, powers of attorney, minutes, and corporate documentation, coordinating execution processes, maintaining accurate records, and supporting internal signoff and approval workflows related to company secretarial and corporate governance activities.
- Manage corporate licensing processes and renewals, coordinate regulatory submissions, track deadlines and filing requirements, proactively escalate compliance risks, and maintain structured documentation systems to ensure continuous regulatory compliance across jurisdictions in the META region.
- Support contract lifecycle management activities including document preparation, execution coordination, contract recordkeeping, maintenance of contract management systems and document management systems, and ensure proper storage and retrieval of legal documentation within shared repositories and legal technology platforms.
- Manage and optimize legal department workflows, trackers, and reporting tools; coordinate cross-functional engagement between legal, compliance, finance, and business teams; provide administrative coordination to the META legal leadership team including scheduling, meeting coordination, agenda management, follow-ups, preparation of presentations, reports, and dashboards; assist with onboarding of external counsel and vendor coordination including engagement documentation tracking; support budget tracking and invoice coordination related to legal spend; and maintain legal department documentation systems and knowledge repositories.
Experience & skills
- Hold a Bachelor’s degree in Law (preferable) or related discipline with a minimum of 5 years of experience in legal operations, paralegal, corporate governance, or company secretarial support roles, including hands-on involvement in entity management and governance activities.
- Demonstrate experience supporting corporate entity management, including maintenance of statutory records, preparation of board resolutions and powers of attorney, handling regulatory filings and submissions, and managing corporate licensing processes and renewals in compliance with local legal requirements.
- Exhibit strong experience working with legal documentation, contract lifecycle management processes, legal workflows, document management systems, and contract management systems, ensuring accurate recordkeeping, execution coordination, and structured documentation practices.
- Show familiarity with legal technology platforms, knowledge repositories, trackers, and reporting tools, and demonstrate capability to manage and optimize legal department workflows while coordinating effectively with legal, compliance, finance, and business stakeholders.
- Demonstrate strong organizational and project coordination skills, ability to work independently and manage multiple priorities in a fast-paced environment, experience in budget tracking and invoice coordination related to legal spend, and high attention to detail in maintaining documentation systems and regulatory compliance processes.
