Job description
The Operations & Administration Executive in Dubai is responsible for ensuring seamless daily retail operations and providing executive support to the CEO. The role encompasses managing store operational activities including inventory checks, compliance with company SOPs, audits, operational reporting, and coordination with sales, warehouse, and support teams. Administrative responsibilities include maintaining operational records, handling invoices, vendor bills, delivery challans, expense statements, and preparing MIS reports for daily, weekly, and monthly tracking. The role also involves liaising with vendors for supplies, services, and maintenance, coordinating HR processes such as attendance, rosters, and onboarding, and supporting internal communications across corporate and store teams. Additionally, the Executive manages CEO-level administrative tasks, including calendar management, scheduling internal and external meetings, preparing meeting agendas, presentations, and reports, drafting professional communications, maintaining confidentiality of sensitive information, and tracking action items to ensure timely follow-ups. Key performance indicators include accuracy and timeliness of operational and CEO tasks, effectiveness of CEO communications and calendar management, quality of documentation, inventory and audit compliance, and responsiveness to operational requests. The role demands strong proficiency in MS Office tools, familiarity with POS/ERP systems, exceptional organizational skills, discretion, and the ability to balance CEO-level priorities with daily operational responsibilities.

Key responsibilities
- Support daily store and operational activities to ensure smooth functioning and compliance with company SOPs, policies, and audit requirements
- Coordinate with sales, warehouse, and support teams to resolve operational issues and ensure efficient workflow across store operations
- Assist in store audits, stock checks, operational reporting, and ensure accurate documentation of all activities and processes
- Maintain operational records, files, and documentation including invoices, vendor bills, delivery challans, and expense statements
- Prepare daily, weekly, and monthly MIS reports and support finance with petty cash and expense tracking
- Liaise with vendors for supplies, maintenance, and services, ensuring timely issue resolution and adherence to service standards
- Coordinate with HR for attendance, rosters, and onboarding documentation, and support leadership communications with store and corporate teams
- Oversee store maintenance requirements including fixtures, IT, and utilities while ensuring hygiene, safety, and operational standards are maintained
- Manage the CEO’s calendar, meetings, and appointments, coordinate internal and external meetings, and prepare meeting agendas, presentations, reports, and follow-up notes
- Draft professional emails, letters, and internal communications on behalf of the CEO and act as a liaison between the CEO and internal teams/vendors
- Maintain confidentiality of sensitive business and personal information, track action items from CEO meetings, and ensure timely follow-ups
- Monitor key performance indicators including accuracy and timeliness of operational and CEO-related tasks, inventory and audit compliance, responsiveness, and closure of follow-up actions
Experience & skills
- Bachelor’s degree in Business Administration, Operations Management, or a related field
- 2–5 years of progressive experience in retail operations, administration, or executive assistance, with prior experience supporting senior leadership preferred
- Experience in fashion, lifestyle, or luxury retail is an advantage
- Strong organizational, planning, and multitasking abilities with the ability to prioritize CEO-level tasks alongside operational responsibilities
- High level of discretion and confidentiality in handling sensitive information
- Excellent verbal and written communication skills in English
- Proficiency in MS Excel, Word, PowerPoint, email, and calendar management
- Familiarity with POS / ERP systems for store operations and reporting
- Demonstrated ability to coordinate across vendors, HR, finance, and inter-departmental teams to ensure seamless operations
- Strong attention to detail, accuracy, and adherence to company policies, procedures, and audit requirements
