Job description
Office Manager / Executive Assistant role within a fast-growing influencer marketing agency in Dubai, responsible for providing comprehensive executive-level administrative support to the CEO while managing full office administration operations. The role includes calendar management, scheduling, correspondence handling, international and domestic travel coordination, seamless itinerary management, and visa arrangements. The position requires preparation of meeting agendas, reports, and presentations, along with accurate minute taking during high-level meetings involving senior executives, board members, government officials, and external stakeholders. Responsibilities include managing confidential documentation with discretion, coordinating logistics for events, conferences, and special projects, and overseeing office administration functions including facilities management, procurement, office supplies, and vendor management. The role involves implementing and improving office policies and procedures, supporting HR-related activities such as onboarding new staff, maintaining records, ensuring compliance with local regulations, handling expense reporting, procurement, and daily office operations for the executive office. The position requires proactive anticipation of CEO needs, strong IT skills including MS Office Suite and virtual meeting platforms, and maintaining efficient office operations in an in-office environment within a small team of 1-9 employees.

- Provide comprehensive executive-level administrative support to the CEO including calendar management, scheduling, correspondence management, and prioritisation of executive commitments to ensure efficient time management and operational continuity
- Arrange international and domestic travel including booking flights, accommodation, transportation, preparing detailed itineraries, and managing visa arrangements while ensuring seamless travel coordination
- Prepare meeting agendas, reports, and presentations while taking accurate minutes during high-level meetings involving senior executives, board members, government officials, and external stakeholders
- Liaise professionally with senior executives, board members, government officials, and external stakeholders while maintaining confidentiality and professional communication standards
- Manage confidential documentation and sensitive information with absolute discretion while maintaining secure filing, records management, and document control practices
- Coordinate logistics for events, conferences, and special projects including venue arrangements, travel coordination, stakeholder communication, and administrative execution
- Oversee office administration functions including facilities management, procurement, office supplies, vendor management, and day-to-day operational oversight
- Implement and improve office policies and procedures while supporting HR-related activities including onboarding, maintaining records, ensuring compliance with local regulations, and handling expense reporting and executive office operations
Experience & skills
- Demonstrate experience providing executive-level administrative support including calendar management, scheduling, correspondence management, and executive coordination
- Exhibit experience arranging international and domestic travel including itinerary planning, travel coordination, and visa arrangements for senior executives
- Maintain ability to prepare meeting agendas, reports, presentations, and perform accurate minute taking for high-level meetings and executive discussions
- Show experience liaising with senior executives, board members, government officials, and external stakeholders while maintaining confidentiality and professionalism
- Possess experience managing office administration functions including facilities management, procurement, office supplies, and vendor management
