Job description
The Property Management & Accounts Administrator at Driven Properties in Jeddah, Saudi Arabia, plays a critical role in supporting property management operations by providing administrative assistance, handling tenant enquiries, and maintaining property documentation. The role involves coordinating tenancy contract registration through Ejar, liaising with utility providers such as Saudi Electricity Company (SEC), National Water Company (NWC), and district cooling providers like Saudi Tabreed to arrange utility connections, and maintaining accurate records within CRM systems and database management platforms. Responsibilities include lease drafting, processing renewals within defined timelines, updating trackers and master sheets, reconciling CRM data with contract and payment details, and preparing weekly reports for the property portfolio. The administrator also manages maintenance requests, prepares inspection checklists for move-ins and move-outs, and supports the Property Manager in coordinating contractors and suppliers. The position requires proficiency in Microsoft Excel, Microsoft Word, Microsoft Outlook, and familiarity with property management software such as Yardi, ensuring compliance with company standards and efficient real estate operations across residential, mall, and facility properties.

Key responsibilities
- Provide tenant assistance by addressing queries related to maintenance, parking, contracts, cheques, and property services
- Respond to tenant and property owner enquiries regarding maintenance, renewals, parking, and property-related issues
- Coordinate with Ejar for tenancy contract registration and liaise with Saudi Electricity Company (SEC), National Water Company (NWC), and district cooling providers such as Saudi Tabreed for utility connections
- Maintain and update trackers with accurate property details, tenant information, lease agreements, and renewal records
- Manage lease renewals by drafting and sending renewal notices within 100 days of expiry and completing processes within 30 days of expiry
- Perform database management by entering properties into CRM systems and reconciling CRM data with contracts, master sheets, and payment records
- Receive, record, and track maintenance and inspection requests
- Prepare weekly reports for the property portfolio
- Assist in lease drafting and review of agreements and related documentation
- Prepare inspection checklists for move-ins, move-outs, and compliance with company standards
- Support the Property Manager with administrative tasks, contractor coordination, and supplier management
Experience & skills
- Demonstrate experience in administrative roles within property management or real estate industry
- Utilize Microsoft Excel, Microsoft Word, and Microsoft Outlook with proficiency for documentation and reporting
- Apply database management and CRM systems for property and tenant record maintenance
- Possess familiarity with property management software such as Yardi
