Job description
The Specialist – Micro Mobility Operations supports the effective delivery of Corporate Mobility Services by providing comprehensive commercial, administrative, and coordination support across all properties. The role acts as the administrative backbone of the Corporate Mobility Services function, ensuring accurate quotation management, invoicing coordination, contract and Terms & Conditions administration, helpdesk coordination, reporting, and structured internal and external communication. The position ensures governance consistency, high-quality documentation, and strong alignment with Finance, Procurement, Operations, and internal clients. Responsibilities span commercial documentation control, financial administration support, service coordination, template management, data reporting, and stakeholder communications to enable smooth, compliant, and efficient mobility service delivery.
Required skills
Key responsibilities
- Prepare, issue, track, and manage commercial quotations ensuring accurate pricing, scope, assumptions, and service descriptions
- Maintain quotation logs and manage follow-ups, approvals, and closures
- Coordinate with Finance to ensure timely issuance of invoices and validate supporting service records and documentation
- Track invoice status and escalate discrepancies or delays
- Support administration of mobility service contracts and assist in drafting and updating Terms and Conditions
- Create, maintain, and distribute SOPs, management plans, and governance documentation with proper version control
- Coordinate Corporate Mobility Services helpdesk activities including request logging, assignment, tracking, and closure
- Maintain dashboards and status reports and escalate recurring service issues
- Compile and maintain reports covering quotations, contracts, invoicing, helpdesk activity, and service delivery
- Maintain accurate databases, logs, and structured documentation aligned with corporate standards
- Develop and maintain communication templates including quotations, invoices, T&Cs, service catalogs, request forms, and client communications
- Coordinate with ServiceNow teams to update service descriptions, workflows, user guidance, and portal messaging
- Draft internal announcements, memos, meeting minutes, follow-ups, and stakeholder communications
- Ensure structured communication flow between Corporate Mobility Services and internal departments
- Collaborate closely with managers and section heads to align on priorities, processes, and documentation needs
Experience & skills
- Demonstrate experience in administration, commercial coordination, contract management, or mobility-related services
- Exhibit strong organizational, documentation, and attention-to-detail capabilities
- Show ability to manage multiple priorities accurately and within deadlines
- Demonstrate strong written and verbal communication skills
- Be comfortable working within structured, process-driven environments
- Demonstrate proficiency in Microsoft Excel, PowerPoint, and Outlook
- Show familiarity with ServiceNow or similar service management platforms
