Job description
The Project Assistant to CEO role at IFZA Dubai supports the Chief Executive Officer in managing key strategic initiatives, coordinating multiple projects, and handling a wide range of administrative and organizational tasks within a consulting and free zone company formation environment. The role is designed for an entry-level professional or recent graduate seeking hands-on exposure in a fast-paced, dynamic organization while working closely with senior leadership. Responsibilities include assisting with project coordination and progress tracking to ensure projects are delivered on time and within scope, conducting research and preparing presentations, reports, and summaries to support executive decision-making, managing internal and external communications directed to the CEO, organizing and maintaining structured project documentation, supporting cross-functional communication between departments, and coordinating internal and external events such as board meetings, client calls, and group-wide events. The position requires proficiency in Microsoft Office tools and digital collaboration platforms, adherence to structured documentation practices, and the ability to manage multiple priorities simultaneously while maintaining accuracy and organization.

Key responsibilities
- Assist the CEO in managing, coordinating, and tracking the progress of strategic and operational projects to ensure timely and scoped completion
- Conduct research and prepare presentations, reports, summaries, and briefing materials to support CEO decision-making
- Manage internal and external communications for the CEO, including drafting emails, memos, and formal correspondence
- Organize, maintain, and archive project and business documentation to ensure accurate tracking and easy retrieval
- Coordinate cross-functional communication between departments to ensure smooth information flow and project alignment
- Support the organization and execution of internal and external events including board meetings, client calls, and company-wide events
- Utilize Microsoft Office Suite and digital collaboration tools to support project management and communication activities
Experience & skills
- Hold a Bachelor’s degree or equivalent qualification in Business Administration, Management, or a related field
- Possess 0–3 years of experience in administrative support, project coordination, project management, or business support roles
- Demonstrate proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
- Exhibit experience or familiarity with digital communication and project management tools such as Slack and Trello
- Show strong organizational capability with the ability to manage multiple projects and priorities simultaneously
- Demonstrate attention to detail in document handling and administrative processes
- Be proficient in English and German languages
- Be open to learning, taking on new responsibilities, and working in a fast-paced business environment
- Fresh graduates with internships and strong organizational skills are acceptable candidates
