Job description
The Service Operations Coordinator is responsible for streamlining the execution of field projects at Honeywell Abu Dhabi by centralizing and managing all administrative and logistical workflows. Reporting to the Field Service Manager, this role acts as the primary liaison between Honeywell, customers, and site management for documentation, site access, and project compliance. The position ensures that all work permits, safety documentation, and project documentation comply with Honeywell’s Quality Management System (QMS) and customer-specific standards. It coordinates site access for service teams including security clearances, gate passes, vehicle and equipment entry, and liaises with customer administrative teams to align on entry requirements and safety inductions. Operationally, the Coordinator manages project workflows in SAP Ariba, coordinates external contractor tasks in Fieldglass, and maintains project trackers and dashboards for real-time administrative progress updates. Additionally, the role organizes project kick-offs, progress reviews, and safety meetings, prepares agendas, documents minutes, and tracks completion of administrative action items. The position requires strong organizational skills, attention to detail, ability to manage multiple permit requests, and professional communication in English and Arabic. Occasional travel within the UAE may be required to facilitate site access or attend alignment meetings.

Key responsibilities
- Draft, track, and manage all work permits and safety documentation required for site mobilization, ensuring compliance with Honeywell’s Quality Management System (QMS) and customer standards.
- Act as the primary point of contact for customer site management to handle site access paperwork, security clearances, and gate passes for service teams, coordinating with customer administrative offices as required.
- Coordinate vehicle and equipment entry permits for service teams to ensure zero delays in field project execution and maintain smooth operational workflows.
- Manage operational activities within SAP Ariba and coordinate external contractor workflows in Fieldglass, ensuring all tasks are tracked and executed according to project timelines.
- Maintain project trackers and dashboards to provide real-time updates on administrative progress to the Field Service Manager and project teams, supporting operational visibility and planning.
- Organize and schedule project kick-offs, progress review meetings, and safety meetings, preparing meeting agendas, documenting minutes, and tracking completion of administrative action items.
- Monitor compliance with internal and customer documentation requirements, identifying bottlenecks, mitigating delays, and ensuring administrative processes support timely field project delivery.
- Provide proactive communication and liaison between Honeywell, customer site management, and internal teams, ensuring seamless coordination of technical, administrative, and safety requirements.
Experience & skills
- Possess 3–4 years of experience in operations support, project coordination, or technical administrative roles, preferably within Engineering, Construction, or Oil & Gas sectors.
- Hold a Bachelor’s Degree in Business Administration, Industrial Management, or a related field; technical or engineering background is a plus.
- Demonstrate proven experience with enterprise systems including SAP, Ariba, and Fieldglass (or similar ERP systems) for operational and project management.
- Exhibit exceptional written and verbal communication skills in English and Arabic, with the ability to professionalize technical requests for customer management.
- Maintain high attention to detail and organizational skills to manage multiple overlapping permit requests, deadlines, and administrative workflows.
- Demonstrate ability to coordinate with customer site-access offices and security departments, representing Honeywell professionally while maintaining compliance and safety standards.
- Work independently as a self-starter, identifying potential administrative bottlenecks and resolving them proactively to avoid impact on engineering schedules.
- Occasionally travel to customer sites within the UAE to facilitate site access, attend project alignment meetings, and ensure compliance with site-specific procedures and requirements.
