Job description
The Document / Secretary β Techno Commercial Audit role is responsible for managing, controlling, and maintaining all commercial and procurement-related project documentation within an organizational environment in the United Arab Emirates. The position ensures proper registration, tracking, version control, and timely distribution of documents while maintaining accurate records of purchase orders, work orders, contracts, and related correspondence. The role requires ensuring compliance with internal procedures and document control standards, as well as preparing, issuing, and maintaining work orders to suppliers in accordance with approved guidelines. It includes tracking work order status and maintaining proper filing systems for audit and reference purposes. The role also supports procurement and commercial teams by assisting in documentation updates, follow-ups, and administrative coordination activities. In addition to document control responsibilities, the position provides secretarial and administrative support including managing calendars, scheduling meetings, coordinating appointments, preparing agendas, recording and circulating minutes of meetings (MOM), handling correspondence and emails, and maintaining office filing systems. The role supports management by ensuring proper documentation, reporting, and coordination activities are completed efficiently. The position requires strong proficiency in Microsoft Excel and familiarity with project management tools to support documentation tracking and reporting functions. The role combines document control, procurement support, and executive secretarial responsibilities in a structured administrative and commercial environment.

Key responsibilities
- Manage and maintain all commercial and procurement project documentation including registration, tracking, version control, distribution, and compliance with internal document control procedures
- Maintain accurate records of purchase orders, work orders, contracts, and related commercial correspondence ensuring proper documentation and audit readiness
- Prepare, issue, and track work orders to suppliers according to approved procurement and commercial guidelines while ensuring accurate status tracking and filing
- Support procurement and commercial teams with documentation updates, follow-ups, and coordination of project-related administrative activities
- Provide secretarial support including calendar management, meeting scheduling, appointment coordination, and general office administration tasks
- Prepare meeting agendas, record minutes of meetings (MOM), and circulate documentation to relevant stakeholders in a timely manner
- Handle correspondence including emails, filing systems, and administrative communication to support operational efficiency
- Support management with documentation preparation, reporting, and coordination activities to ensure smooth administrative and commercial operations
Experience & skills
- Obtain 5β7 years of experience in document control, procurement support, or administrative/secretarial roles within commercial or project-based environments
- Demonstrate strong knowledge of Microsoft Excel and familiarity with project management tools for documentation tracking and reporting
- Possess experience in managing purchase orders, work orders, contracts, and commercial documentation systems
- Exhibit strong organizational skills with ability to maintain version control, filing systems, and document tracking processes
- Demonstrate ability to coordinate meetings, prepare agendas, and produce minutes of meetings (MOM) accurately and efficiently
- Show strong administrative and office management skills including calendar management, correspondence handling, and general office support
- Possess attention to detail and ability to ensure compliance with internal document control procedures and audit requirements
- Hold High School Diploma or equivalent (Bachelorβs Degree also indicated in job metadata)
