Job description
The Community Operations Coordinator at AstroLabs in Riyadh serves as the first point of contact for members and visitors while managing front desk operations and ensuring seamless day-to-day community operations. The role supports high-growth companies entering Saudi Arabia and UAE markets by maintaining operational excellence within AstroLabs coworking and community environments. Responsibilities include managing front-of-house operations, greeting members and guests, responding to inquiries through phone calls, emails, online chat, and walk-ins, and providing administrative and operational support. The role captures leads from calls, referrals, and walk-ins and connects them to sales teams and business units. The Community Operations Coordinator ensures workspace operational readiness by coordinating with service providers including cleaning, internet, security, and maintenance. The position handles supply procurement, deliveries, asset tracking, and mail management while maintaining concern logs and operational standards. The role provides technology support including printer setup, meeting room bookings, and account creation, schedules training room bookings, and manages team schedules to ensure coverage. The position also supports community engagement by assisting with event logistics including room setup, AV requirements, and refreshments. The role requires proficiency in Microsoft Office including Excel, Word, PowerPoint and Google Apps including Drive, Sheets, Docs, and Forms, along with operational coordination, front desk management, administrative support, vendor coordination, and community engagement within a coworking and business services environment.

Key responsibilities
- Manage front desk operations including greeting members, visitors, and guests while handling inquiries through phone calls, emails, online chat, and walk-ins to ensure professional customer service delivery
- Capture leads from calls, walk-ins, referrals, and online channels, record them appropriately, and connect prospective clients with sales teams and relevant business units
- Coordinate daily workspace operations including supply purchases, deliveries, pantry supplies, office supplies, and consumables to ensure operational readiness
- Coordinate with service providers including cleaning, internet, security, and maintenance teams to maintain operational efficiency and ensure all facilities are functioning properly
- Conduct routine operational checks for printers, shared spaces, meeting rooms, and office infrastructure while maintaining concern logs and resolving operational issues
- Provide technology support including printer setup, meeting room bookings, account creation, and handling mail and courier distribution and tracking
- Manage tracking and maintenance of physical assets including electronics and office resources while scheduling training room bookings and managing team schedules
- Support community engagement initiatives by assisting with event logistics including room setup, AV requirements, refreshments, and coordination with community members
Experience & skills
- Demonstrate fluency in Arabic and English with clear and structured written and verbal communication skills
- Show proficiency in Microsoft Office suite including Microsoft Excel, Microsoft Word, and Microsoft PowerPoint
- Demonstrate proficiency in Google Apps including Google Drive, Google Sheets, Google Docs, and Google Forms
- Demonstrate experience or capability in front desk operations, customer service, and administrative coordination
- Show ability to coordinate vendors, service providers, and operational logistics within coworking or office environments
- Demonstrate strong organizational skills, multitasking ability, and attention to detail for managing multiple operational priorities
- Show ability to support event logistics including training room setup, AV coordination, and community event operations
