Job description
The Officer β Fleet Operations and Maintenance role in Dubai, United Arab Emirates is responsible for overseeing all vehicle service-related issues and managing the repairs and maintenance of fleet vehicles to maximize fleet utilization. The role includes planning, scheduling, and executing the deployment of new vehicles, as well as the de-fleeting of active and total loss vehicles in line with company policies and regulatory compliance requirements. The position acts as the central focal point for all base stations, collating and managing information related to invoicing, insurance excess, de-fleeting, and scrap. The role supports strategic fleet operations through participation in fleet budget preparation and administration, submission of budget recommendations based on historical and analytical data, monitoring expenditures, ensuring compliance with safety, quality, and environmental management policies, and implementing cost-reduction and efficiency-improvement processes. Operational responsibilities include directing vehicle repairs and maintenance through in-house mechanics or approved vendors, auditing service and workshop invoices by verifying parts and labor rates, maintaining accurate fleet maintenance records, monitoring drivers for negligence in required vehicle servicing, handling driver queries related to vehicle maintenance and accidents, and generating detailed reports on accident-related charges, work orders, and maintenance activities. The role also includes people management responsibilities by directing fleet assistants, enforcing adherence to company policies and procedures, and ensuring real-time system records of vehicle maintenance, availability, and delivery to drivers.

Key responsibilities
- Oversee all vehicle service-related issues and manage repairs and maintenance to maximize fleet utilization
- Plan, schedule, and execute deployment of new vehicles and de-fleeting of active and total loss vehicles in compliance with company policy and regulatory requirements
- Act as a central focal point for base stations in collating invoicing, insurance excess, de-fleeting, and scrap information
- Participate in preparation and administration of fleet budgets and submit budget recommendations based on historical and analytical data
- Monitor fleet-related expenditures and ensure compliance with safety, quality, and environmental management policies and procedures
- Generate accident-related charge reports for recovery and non-recovery and support account approvals and adjustments
- Generate daily reports of work orders and maintenance activities for reconciliation with concerned departments
- Provide data support to management for report generation and analysis
- Direct vehicle repair and maintenance activities using in-house mechanics or approved outsourced vendors
- Monitor drivers for negligence in required vehicle servicing and escalate issues to management when necessary
- Audit service and workshop invoices by verifying parts usage and labor rates
- Maintain accurate records of all fleet and equipment repairs and maintenance activities
- Validate and control workshop invoices
- Direct and supervise fleet assistants in day-to-day operational activities
- Ensure strict adherence to company policies, processes, and procedures by fleet staff
- Handle driver queries related to vehicle maintenance and accidents
- Improve vehicle availability, ensure timely vehicle delivery to drivers, and maintain real-time system records of fleet status
Experience & skills
- Hold a Diploma or Bachelorβs Degree, preferably in Engineering
- Possess a minimum of 6 years of relevant experience with at least 4 years in a similar fleet operations role
- Demonstrate experience in automotive mechanical diagnosis and vehicle repair
- Have strong knowledge of fleet management requirements and operational dynamics
