Job description
The Project Assistant to the Head of Operations plays a strategic and execution-focused support role within a dynamic consulting and free zone services environment. Acting as an extension of leadership, the role ensures operational initiatives are structured, tracked, and delivered efficiently. The Project Assistant supports planning and governance activities, builds structured presentations and reports, maps and improves processes, and ensures priorities progress without requiring constant supervision. This position requires strong analytical thinking, the ability to convert unstructured inputs into clear and actionable outputs, and the discipline to maintain governance frameworks, documentation, and stakeholder alignment across multiple concurrent initiatives.
Required skills
Key responsibilities
- Maintain project governance frameworks including RAID logs, RAG status reports, risk registers, milestone trackers, dependency logs, and weekly or monthly reporting packs to ensure transparency and progress visibility
- Prepare structured project updates, executive briefing materials, decision logs, and leadership presentations that clearly communicate progress, risks, mitigation plans, and next steps
- Support the development of project plans, execution roadmaps, and timeline trackers while proactively monitoring cross-functional dependencies and follow-ups with minimal supervision
- Build polished dashboards, reports, and presentation decks by transforming raw or fragmented inputs into concise, visually structured, and decision-ready materials
- Maintain comprehensive project documentation, SOP repositories, workflow libraries, and conduct process mapping exercises (As-Is and To-Be) to identify operational improvement opportunities
- Coordinate with internal stakeholders across departments to gather information, align requirements, issue meeting agendas and pre-reads, document minutes and action items, and support resource planning, compliance checks, and operational readiness activities
Experience & skills
- Bachelor’s degree in Business, Operations, Project Management, or a related discipline with 2–5 years of professional experience in PMO, project coordination, operations, or business analysis roles
- Demonstrated experience in maintaining project governance tools such as RAID logs, RAG status updates, milestone trackers, and risk registers within structured project environments
- Advanced proficiency in Microsoft Office and Google Workspace, particularly Excel/Sheets and PowerPoint/Slides, with strong ability to build structured decks, project trackers, and executive-level reports
- Hands-on experience with project and workflow management tools such as Asana, Jira, Trello, Monday.com, or similar platforms
- Strong written and verbal communication skills with the ability to synthesize complex information into clear, concise, and professional documentation
- Excellent organizational skills, attention to detail, professional judgment, and ability to manage multiple concurrent workstreams under pressure with limited direction
