Job description
The Assistant Director of Groups & Events at Marsa Malaz Kempinski – The Pearl, Doha, plays a pivotal role in supporting and enhancing the hotel’s groups and events sales operations. This senior on-site position assists the Director of Groups & Events in managing the department, attending client meetings and events in their absence, and ensuring seamless execution of group and event bookings. The role involves managing the receipt, qualification, and coordination of event and group requests, including leads and RFPs, and ensuring responses are handled within five business hours. The Assistant Director applies Kempinski MICE SOPs throughout the process from group enquiry to contracting, optimizes the use of meeting and conference rooms, conducts site inspections with potential clients, and identifies upsell opportunities to exceed budget goals. Responsibilities include supervising data input in the Opera S&C System, generating proposals and contracts, following up within 24 hours, managing enquiries until booking conversion, and ensuring proper handover to Event Managers or Groups & Events Coordinators. The role also encompasses conducting exit interviews, cross-selling across Kempinski and GHA hotels, performing competition checks, reviewing monthly results, maintaining LOS/CAN/UNC business, and executing additional administrative and management-assigned tasks to maximize hotel revenue and market share.

Key responsibilities
- Assist the Director of Groups & Events in managing departmental operations, providing leadership and guidance, particularly in the Director’s absence, and ensuring all sales and event processes run smoothly.
- Attend client meetings and events on behalf of the Director, maintaining a professional representation of the hotel and fostering strong client relationships to encourage repeat and future business.
- Directly handle receipt, qualification, and coordination of group and event requests including leads, RFPs, and enquiries, ensuring all requests are processed according to hotel standards within five business hours.
- Apply Kempinski MICE SOPs to manage processes from group enquiry to contracting, including site inspections, meeting room optimization, upselling opportunities, and budget adherence to meet or exceed targets.
- Supervise the accurate input and maintenance of requests in the Opera S&C System, ensuring data integrity, proper activity tracking, and preparation of proposals and contracts for client approval.
- Follow up on all sent proposals within 24 hours to ensure client receipt, address questions or concerns, and manage the enquiry lifecycle until conversion to definite bookings, including negotiation and contracting.
- Ensure a smooth handover of converted bookings to Event Managers or Groups & Events Coordinators, providing all relevant information, introducing the client, and coordinating on-site event execution.
- Conduct exit interviews with clients post-event, gather feedback, identify future business opportunities, perform competition analysis, maintain LOS/CAN/UNC records, and recommend activities to increase market share and revenue while performing other administrative and management-assigned tasks.
Experience & skills
- Proven experience in groups and events management within the hospitality or luxury hotel sector, ideally handling large-scale MICE events.
- Strong knowledge and application of event management SOPs, contract negotiation, upselling techniques, and budgeting within a hotel environment.
- Proficiency in Opera S&C System or equivalent event and booking management software.
- Exceptional organizational skills to manage multiple enquiries, bookings, and administrative tasks simultaneously with attention to detail.
- Excellent interpersonal and communication skills to interact effectively with clients, colleagues, and senior management.
- Ability to conduct site inspections, handle complex client negotiations, and manage the full lifecycle of group and event bookings.
- Experience in client relationship management, cross-selling, and market analysis to maximize hotel revenue and market share.
- Capacity to attend events, conduct exit interviews, and coordinate with multiple departments to ensure successful delivery of group and event services.
- Flexible, proactive, and capable of taking on additional responsibilities as assigned by management.
