Job description
The Executive - Logistics is responsible for providing operational support to the stores and brand team and ensuring smooth coordination with various departments within the group in a retail logistics and supply chain environment. Based on-site in Doha, Qatar, the role requires detailed attention to freight invoice checking and verification against quoted rates and duty against declared value, and maintaining accurate updates of the Master file for freight, duty payments and other necessary shipment details. The position consolidates invoices, HS Code Summary, DA & CO applications with correct and concise documentation, books shipments through various vendors at the best available rates, updates overseas shipment files, coordinates customs clearance processes and plans delivery schedules accordingly. The Executive collects delivery orders from shipping lines and freight forwarding companies, obtains certificates from the Chamber of Commerce, supports store openings and closures with stationery and IT requirements, and coordinates with Club Apparel team for customer data and Marketing team for graphic design requirements. The role prepares and checks stock variance reports, follows up on Trade License matters with the legal department, collects daily purchase reports from stores, compiles master data from the data entry team, coordinates voucher payments of Principals with Accounts and Finance, hands over GCC related stock documents to the logistics department, collaborates with Inventory Control on stock issues, prepares MIS reports, and submits regular store visit reports to superiors.

Key responsibilities
- Verify all freight invoices with detailed attention to freight invoice verification processes, cross-check quoted freight rates against vendor agreements, validate duty calculation against shipment declared value, and ensure discrepancies are resolved prior to processing payments.
- Maintain and update the Master file for freight charges, duty payments and other shipment-related financial records, ensuring accurate data entry, proper documentation tracking and alignment with internal audit and compliance standards.
- Consolidate invoices, HS Code Summary, DA applications and CO applications with correct and concise details, ensuring accurate HS Code classification and complete documentation for customs clearance and regulatory submissions.
- Book shipments through various freight forwarding vendors at the best possible and available rate by evaluating freight rate negotiation options, confirming shipping schedules and coordinating overseas shipment coordination to meet delivery timelines.
- Update overseas shipment files, coordinate customs clearance coordination activities, collect delivery orders from shipping lines and freight forwarding companies, and plan delivery schedules in alignment with store replenishment requirements.
- Collect certificates from the Chamber of Commerce, follow up on Trade License documentation with the legal department, and hand over GCC related stock documents to the logistics department to ensure regulatory compliance and proper stock documentation handling.
- Support stores during opening and closing by coordinating stationery and IT requirements, ensuring operational readiness and timely procurement of necessary materials in collaboration with internal departments.
- Prepare and check stock variance reporting as requested, coordinate with Inventory Control department for stock-related discrepancies, collect daily purchase reports from stores, compile master data from the data entry team, and prepare MIS reporting for management review.
- Coordinate with Accounts and Finance department for voucher payment processing related to Principals, prepare regular store visit reporting, and submit detailed reports to superiors to ensure transparency, financial accuracy and smooth interdepartmental coordination.
Experience & skills
- Hold a Bachelor’s Degree as specified and demonstrate the ability to function effectively within a Logistics & Supply Chain role supporting multi-store retail operations in an on-site environment.
- Demonstrate practical knowledge and hands-on capability in freight invoice verification, duty calculation, HS Code classification, DA applications, CO applications and customs clearance coordination processes.
- Exhibit experience in shipment booking, freight forwarding coordination, overseas shipment coordination and delivery order processing to ensure timely and cost-effective transportation management.
- Show proficiency in maintaining Master files for freight and duty payments, consolidating shipment documentation, and preparing accurate financial and operational reports including MIS reporting and stock variance reporting.
- Demonstrate ability to coordinate effectively with multiple internal departments including Accounts and Finance, Legal, Inventory Control, Marketing, Club Apparel team and brand teams to ensure smooth workflow and issue resolution.
- Possess knowledge of regulatory documentation processes including Chamber of Commerce documentation, Trade License follow-up and GCC stock documentation handling to ensure compliance with local and regional requirements.
- Exhibit strong organizational skills and attention to detail in compiling purchase report consolidation, voucher payment processing and documentation accuracy for audit and compliance purposes.
- Demonstrate capability to support store operations including stationery and IT requirement coordination during store openings and closures, and perform structured store visit reporting to management.
- Show ability to manage multiple logistics and supply chain tasks simultaneously while maintaining accuracy, meeting deadlines and ensuring seamless coordination across freight, customs, finance and inventory control functions.
