Job description
The Document Controller at The First Group is responsible for maintaining an organized documentation process for construction and administrative records, including contracts, invoices, LOIs, drawings, and correspondences. The role ensures all documents are accurately reviewed, processed, stored, and retrievable in compliance with organizational protocols. Duties include managing invoice workflows with finance, processing submittals, drafting letters, and providing administrative support to construction and contract teams. The position requires experience in construction documentation within a multi-project environment, attention to detail, and proficiency in Microsoft Office Suite and document management systems. Additional responsibilities include scheduling meetings, coordinating logistics, maintaining office supplies, and supporting cross-functional teams with various administrative tasks.

Key responsibilities
- Manage and maintain an organized document control system for contracts, LOIs, invoices, and project documentation
- Track, review, and ensure timely updates and accuracy of contractual documents, amendments, and addendums
- Create and organize both physical and digital filing systems for project support
- File and archive documents following compliance protocols for labeling and storage
- Control the flow and confidentiality of incoming and outgoing project documentation
- Process and track invoices with finance and construction teams, resolving discrepancies
- Ensure timely submission of documents for payment and procurement
- Receive, log, and prepare submittals for approval and maintain accurate submittal logs
- Draft and compose letters and transmittals for returning commented items to site teams
- Assist in scheduling, correspondence, document preparation, and meeting logistics
- Monitor office supplies and ensure functionality of document-related equipment
- Provide general administrative assistance across departments as required
Experience & skills
- Minimum 3 years of experience in document control or administrative roles within construction or contracting industry
- Experience managing multi-project documentation
- Strong organizational and file management capabilities
- Excellent communication skills for stakeholder interaction and correspondence
- Proficiency in Microsoft Office Suite and document management tools
- High attention to detail and commitment to maintaining document confidentiality
