Job description
The Operations Account Manager – Business Setup role at AstroLabs in Riyadh is a client-facing operations position responsible for delivering end-to-end business setup and post-company formation services for regional and international clients establishing a legal presence in Saudi Arabia. The role operates within a fast-paced business expansion platform providing company registration, licensing, visa issuance, entity management, compliance, and ongoing operational support. The position manages complex and VIP client portfolios, acts as the primary escalation point, and ensures transparent communication, regulatory compliance, and timely milestone delivery. The role requires hands-on oversight of licensing and government processes involving MISA, Ministry of Commerce, ZATCA, Ministry of Labor, MOFA, and Qiwa, while maintaining high SLA adherence, data accuracy, and CRM integrity. The position also includes mentoring Client Relations Associates and Specialists, driving process improvements, automation initiatives, operational reporting, and strengthening government and partner relationships to support scalable, world-class business setup operations aligned with AstroLabs’ growth strategy.

Key responsibilities
- Manage a diverse portfolio of regional and international clients, including VIP and complex business setup cases, ensuring consistent satisfaction through proactive communication
- Serve as the primary escalation point for client issues, driving timely resolution and maintaining client confidence
- Maintain regular reporting on setup progress, bottlenecks, milestones, and compliance status across all client accounts
- Oversee the full business setup lifecycle including company registration, licensing, and visa issuance in Saudi Arabia
- Ensure strict compliance with regulatory requirements and evolving government regulations
- Guarantee achievement of SLAs including same-day client acknowledgment and 95% or higher SLA adherence
- Maintain 99% accuracy across client documentation, operational data, and CRM records
- Identify and implement process improvements, automation initiatives, and system efficiencies to enhance productivity
- Produce data-driven operational and performance reports to support strategic and operational decision-making
- Build and maintain working relationships with government entities including MISA, Ministry of Commerce, ZATCA, Ministry of Labor, MOFA, and Qiwa
- Proactively follow up on complex or delayed government submissions to ensure timely resolution
- Establish at least two new government or partner relationships per quarter to strengthen service delivery capacity
- Manage, mentor, and develop Client Relations Associates and Specialists through regular one-to-one meetings and feedback
- Lead knowledge-sharing initiatives to keep teams updated on regulatory changes, systems, and procedures
- Promote a culture of accountability, operational excellence, and continuous improvement
Experience & skills
- Possess 2–4 years of experience in Account Management, Business Setup, Operations, or Corporate Services within Saudi Arabia
- Demonstrate experience managing clients in regulatory, licensing, or government-related environments including MISA, Ministry of Commerce, ZATCA, and Qiwa
- Be fully fluent in Arabic and English, both written and spoken
- Show a proven track record of meeting or exceeding KPIs in client delivery or operational roles
- Exhibit strong attention to detail with excellent organizational and documentation skills
- Demonstrate proficiency in CRM systems such as HubSpot and Salesforce
- Demonstrate experience using project management tools such as ClickUp
- Apply a data-driven approach with the ability to prepare and interpret operational reports
- Demonstrate the ability to manage diverse internal and external stakeholders professionally
